Full Job Description Job Overview:
The Payroll Assistant provides essential support to the Payroll and Human Resources team, ensuring accurate and timely processing of payroll data, timecard management, and employee record maintenance. This position reports to the Payroll Coordinator. The work schedule is four days per week (M-Th) on-site at our corporate office and Friday's on-site at our Servite facility. Essential Duties and Responsibilities:
Timecard & Payroll Processing Review and process Time Audit reports for lunch breaks (typically Tuesday/Wednesday), dependent on manager timecard corrections Run Pay Period Close Reports to identify timecards requiring correction or approval; review all salary employee timecards for PTO accuracy and schedule updates Review and update timecards including coding, times, PTO entries, comments, and break updates Process direct deposits and rapid pay cards Enter PTO on behalf of managers experiencing system difficulties Enter new hire schedules into the timekeeping system Reporting & Analysis Generate Daily Time Detail Reports reflecting daily hours worked, with particular attention to large-hour situations and Saturday hours. Produce Employee Summary reports to identify employees working over threshold hours; follow up with managers as needed Generate Time Off Requests Info report reflecting pending PTO requests requiring approval, refusal, or cancellation; communicate with managers accordingly Leave Management Maintain and cross-reference the Flores Spreadsheet to track employee leave status (approved, pending, or not on leave); code timecards accordingly and email managers when employees are not reflected on the spreadsheet Coordinate with HRIS staff regarding Employees on Continuous Leave Report and communicate return-to-work status Update and maintain FMLA, ADA, PLOA, Workers' Compensation, and other leave records Administrative & Compliance Respond daily to Payroll/Personal/Junk Mail inbox emails in a timely manner Assist employees and managers in person or via email with questions related to direct deposit, PTO, timecard comments, retroactive adjustments, and related topics Process and manage denied PTO requests Handle Wage & Employment Verifications Process W-2 and 1095 items returned as undeliverable File direct deposit documents, VOEs, and wage verifications Training & Support Provide timecard training, with primary focus on Servite location employees Conduct Servite site visits every Friday for on-site support Send the New Hire list to Amy by Wednesday each week Serve as backup support for Bao during payroll close activities when Bao is out of the office Qualifications Required Minimum 1-2 years of experience in payroll processing, HR support, or a related role Familiarity with payroll and timekeeping systems and processes Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Strong attention to detail and organizational skills Ability to handle confidential information with discretion and professionalism Effective written and verbal communication skills; comfortable emailing and following up with managers Ability to manage multiple tasks and meet recurring deadlines Preferred Experience with UKG (Ultimate Kronos Group) and Workforce Pro timekeeping/payroll platforms Knowledge of payroll compliance requirements including FMLA, ADA, Workers' Compensation, and leave of absence administration Experience processing direct deposits, pay cards, and employment verifications Associate's Degree or higher in Human Resources, Accounting, or a related field Work Environment & Schedule Primarily based at the Corporate Office Required on-site presence at the Servite location one day per week (Fridays) Standard business hours with occasional flexibility required during payroll close periods Company Expectations At ETE REMAN, we expect every team member to: Bring a positive attitude and support your teammates Focus on quality and keep customer satisfaction at the center of everything you do Follow established policies and processes, while staying flexible as things evolve Show up on time, stay engaged, and work with passion, urgency, and focus Aim to not only meet but exceed goals Make continuous improvement a daily goal Equal Opportunity Employer This employer is required to notify all applicants of their rights pursuant to federal employment laws.
