Job Description

POSITION SUMMARY
The Financial Advisor Assistant plays a critical support role in the daily operations of a Northwestern Mutual financial advisor's practice. This individual serves as the face of the office to clients, manages key administrative functions, handles insurance processing, and leads client relationship marketing efforts. The ideal candidate is organized, proactive, personable, and passionate about delivering an exceptional client experience.
KEY RESPONSIBILITIES
Insurance Processing Prepare, submit, and track insurance applications and policy documents Coordinate with underwriters and home office to move cases through the approval process Follow up on outstanding requirements, labs, and signatures Maintain accurate records of case status and update advisor regularly Handle policy delivery and ensure all documentation is properly executed Scheduling & Calendar Management Manage the advisor's calendar, including scheduling client meetings, reviews, and prospecting appointments Send meeting confirmations, reminders, and preparation materials to clients Coordinate logistics for in-person and virtual appointments Prioritize and protect time blocks for high-value advisor activities Client Communication & Service Serve as the first point of contact for client inquiries by phone, email, and in person Respond to routine client requests and direct complex matters to the advisor Maintain a warm, professional, and relationship-focused presence with all clients Update and maintain accurate client information in CRM systems Support client onboarding by gathering necessary documentation and coordinating paperwork Client Marketing & Relationship Building Manage a personalized client outreach calendar, including birthday cards, holiday greetings, and milestone acknowledgments Send handwritten or printed cards and gifts for key life events (anniversaries, new babies, retirements, etc.) Coordinate client appreciation events, seminars, and touchpoint campaigns Support social media and email marketing efforts on behalf of the advisor Track outreach history and ensure consistent, meaningful touchpoints with the client base
QUALIFICATIONS
Required 2+ years of experience in an administrative, client services, or financial services support role Outstanding interpersonal and communication skills written and verbal Highly organized with strong attention to detail and the ability to manage multiple priorities Proficiency in Microsoft Office Suite (Outlook, Word, Excel) Experience with CRM software and scheduling tools Discretion and professionalism in handling sensitive client information Preferred Experience in the financial services, insurance, or wealth management industry Familiarity with life insurance or investment product processing Life & Health insurance license (or willingness to obtain)

Pay:
$50,000.00 - $60,000.00 per year
