Resource Financial Planning, Inc (RFP) is a well-established, independent financial planning and wealth management firm in SW Portland. We are looking for an entry-level Financial Planning Assistant 1 (FPA1) to join our team of Financial Planners and Planning assistants. You'll find this position offers opportunities for growth based on performance and provides you a relaxed, small team office environment. We're looking for a team member who is well organized, can communicate via phone/email comfortably and professionally, has exceptional follow-through, and provides dependable consistency in performing procedures and support. What you'll be doing! Responsibilities span a broad range of functions including client service, database maintenance, marketing and general operations. This position works closely with the advisor and other assistants. You'll be the main point of contact for client scheduling and general questions. General Operations Handle routine service matters for client accounts such as name and address changes, account applications, bank authorizations, and beneficiary changes and ensure completion General administrative and support functions to the advisor which may include preparing correspondence and running reports as requested Ensure client files and reports are prepared and up to date for advisor meetings and reports are sent to clients as needed Enter & prepare investment analysis reports as requested by the advisor for meetings Mailings and Events—Coordinate as needed with Front Desk and check outgoing mailing lists Prepare paperwork and documents for clients and coordinate with other team members Process incoming checks Database lists and reports needed by advisor request Scheduling analysis and offsite scheduling/reservations Other duties and projects as assigned Client Service Greet drop-in clients, answer phone inquiries, schedule and confirm appointments Maintain professional appearance and demeanor Research and resolve client service and online access issues by assisting clients and contacting Home Office and Sponsor companies to resolve problems or errors Escalate issues to the advisor or other team members as needed Communicate with clients to gather additional information needed to schedule meetings, open accounts, assist with transfers or other account maintenance Handle unsolicited calls from prospects to schedule appointments or refer to others on the team Handle meeting requests with third party companies for Advisor Lunch and Learns. Keep advisor informed of any new information a client shares during communications Onboarding and offboarding client processes Organization and Maintenance Database maintenance—Set up and maintain clients and track appointment scheduling tasks in CRM, Osaic, MyCMO and other software as needed Keep databases up to date with important information that the advisor would like to track Maintain physical client files Assemble, organize, coordinate, and maintain client paperwork Experience Excellent verbal and written communication skills Strong proficiency with Microsoft Office Suite - Outlook, Excel, and Word Customer service experience with all types of clients Must have a collaborative spirit and strong relationships with fellow team members and Executives Ability to exercise discretion when dealing with clients and confidential information Solid organization skills and the ability to manage multiple priorities while working under tight timelines Calendar Management experience helpful
Compensation/Benefits/Work Environment:
Base starting salary range: $26.50 - $33.65/hr / DOE Retirement Plan with 3% match upon eligibility Additional PTO for Summer Fridays and early Friday closing year round Full gym access onsite Staff provided meals several times a month and access to multiple onsite cafes
