Job Description

POSITION OVERVIEW
The Community Standards Administrator provides administrative support to ensure consistent enforcement of community covenants throughout the association. This role requires a thorough understanding of the governing documents, applicable House Bills, CCIOA, and Architectural Guidelines in order to conduct inspections and notify homeowners of violations. The position works closely with homeowners, the Architectural Committee, and the Tribunal Committee to support effective covenant enforcement. Responsibilities include, but are not limited to, conducting property inspections for maintenance, landscaping, safety, and compliance issues, as well as accurately documenting and reporting findings.
KEY RESPONSIBILITIES
Not an exhaustive list of duties Community Inspections & Enforcement Conduct regular inspections of over 5,800 properties to ensure compliance with community covenants and standards Identify maintenance, landscaping, and safety issues; document findings with photos and detailed notes Investigate reported violations and determine appropriate next steps Violation Management & Communication Prepare and send violation notices in a timely and consistent manner, referencing governing documents and Architectural Guidelines Respond to homeowner inquiries via email, phone, and in-person visits, maintaining accurate records of all communication Follow up to ensure issues are resolved and in compliance Resale & Application Review Perform resale and presale inspections with quick turnaround times Verify approvals for exterior modifications and update property records with current information and photos Coordinate with internal teams and external partners as needed Coordination & Collaboration Work closely with the Architectural Committee, Tribunal Committee, and staff to support covenant enforcement Partner with apartment managers to address and resolve compliance issues within multifamily communities Collaborate with external entities (e.g., Town of Castle Rock, law enforcement, contractors) when issues require additional support Compliance Tracking & Reporting Maintain accurate records in the database and ensure proper documentation for compliance and collections processes Assist in updating Architectural Guidelines to reflect new legislation and policy changes Additional Responsibilities Contribute content for community communications Conduct occasional evening inspections as directed Provide general support to the team as needed
QUALIFICATIONS
High school diploma or GED required; some college preferred 1-2 years of administrative, customer service, or related experience HOA or property management experience preferred but not required Strong written and verbal communication skills Excellent organizational skills and attention to detail Ability to manage multiple tasks and meet deadlines Customer-service oriented with strong conflict resolution skills Basic understanding of architectural plans or willingness to learn Proficiency in Microsoft Office and ability to learn HOA systems such as Caliber, DocuWare, and RecTrac Valid driver's license, clean driving record, and current auto insurance required Must be comfortable driving a small work vehicle independently for community inspections

$58,000.00 per year
