Job Description

Summary We are seeking a highly organized Real Estate Development & Property Operations Coordinator to support a fast-moving real estate developer/operator across development projects, property management, short-term rental operations, vendor coordination, document control, and executive follow-up. This is not a basic admin role. The ideal candidate is detail-oriented, proactive, comfortable managing multiple real estate projects, and able to keep attorneys, brokers, vendors, consultants, cleaners, and contractors moving. ResponsibilitiesDevelopment / Assemblage Support Maintain project trackers for development, acquisitions, assemblage, options, LOIs, and closing deadlines. Organize due diligence materials, including title, survey, zoning, environmental, insurance, entity, and contract files. Coordinate follow-up with brokers, attorneys, surveyors, engineers, architects, planners, lenders, and consultants. Track entitlement, permitting, zoning, and municipal deadlines. Prepare meeting agendas, call notes, action-item lists, and follow-up emails. Maintain development data rooms for brokers, lenders, equity partners, and consultants. Gather market comps, zoning information, tax records, ownership data, and basic development research. Support preparation of investor/broker materials and project summaries. Property Management Support Track maintenance requests, repairs, inspections, vendor appointments, and completion status. Coordinate with tenants, vendors, contractors, cleaners, and property managers. Maintain property records, leases, notices, photos, invoices, receipts, insurance documents, and inspection reports. Follow up on open work orders until completed. Track recurring property obligations, such as insurance, taxes, utilities, licenses, permits, and compliance deadlines. Prepare weekly property status reports. Assistant property manager roles commonly include tenant communication, repair coordination, lease administration, accurate records, budgeting/reporting, inspections, vendor performance, and service agreements, which should all be folded into this role. STR / Airbnb Operations Support Monitor guest issue logs, cleaner reports, maintenance items, and damage claims. Confirm cleaners and vendors are scheduled. Organize evidence for damage claims, including photos, invoices, estimates, and message screenshots. Ensure guest communication SOPs are followed. Track recurring guest issues, refunds, claims, and property defects. Help maintain house manuals, check-in instructions, parking instructions, and vendor instructions.
Legal / Administrative
Support Maintain legal and contract document folders. Track attorney deliverables, billing, deadlines, and open requests. Organize invoices, receipts, closing statements, settlement documents, and contracts. Prepare follow-up emails and action lists after legal, broker, vendor, or consultant calls. Maintain entity records, insurance records, and project binders. Reporting Create a weekly executive report covering: open property issues open development issues deadlines vendor follow-ups legal/attorney follow-ups unpaid invoices upcoming calls items blocked waiting on owner decision Required Skills Real estate operations, development, property management, construction coordination, or transaction coordination experience. Strong organizational skills. Strong written communication. Strong spreadsheet skills. Ability to manage multiple moving parts. Comfortable using Google Drive, Dropbox, Excel/Google Sheets, Monday.com/Asana/Trello, Slack, Gmail, and AI tools. Ability to call vendors, attorneys, brokers, and city departments professionally. Ability to summarize complex issues clearly. Ability to follow up aggressively without sounding rude. Preferred Skills Development or entitlement exposure. Property management experience. STR/Airbnb experience. Real estate paralegal experience. Broker transaction coordination experience. Construction/project management exposure. Basic financial modeling or underwriting exposure. Familiarity with zoning, title, surveys, LOIs, PSAs, leases, and permits.
