Job Description

Document Specialist Job Description The Document Specialist plays a critical role in supporting food product development and manufacturing by delivering accurate, timely technical documentation to internal teams. This position partners closely with R D, Quality, Regulatory, Procurement, and EHS to ensure that product documentation and customer specifications meet regulatory requirements, internal standards, and customer expectations. The role focuses on managing a high volume of ingredient-related documentation and approvals, helping bring trusted, household-name cereal products to market. Responsibilities Deliver accurate and timely technical, quality, and regulatory documentation to key stakeholders, including R D, Quality, Regulatory, Procurement, and EHS, while managing multiple priorities and changing work scope. Maintain and update quality and regulatory documentation used in ingredient approvals, ensuring all information remains current and compliant. Gather, validate, and enter product, quality, and regulatory information into documentation and database systems with a high level of accuracy. Respond to technical inquiries from internal teams and external partners with clear, accurate, and customer-focused information. Support new ingredient approvals by working closely with external suppliers to obtain required documentation and information. Conduct consistent follow-up with suppliers to ensure timely receipt of documentation, often involving multiple touchpoints to move approvals forward. Collaborate cross-functionally with R D, Quality & Food Safety, Regulatory, and Procurement teams to address questions and resolve documentation issues. Manage a high volume of work simultaneously, typically handling documentation and approvals for 40-50 ingredients at a time, often with multiple suppliers per ingredient. Prioritize tasks within a documentation queue, adjusting focus as timelines and urgency evolve based on R D and business needs. Participate in training and knowledge transfer with the current Document Coordinator, including approximately one month of onboarding and overlap to ensure continuity of coverage during maternity leave. Essential Skills Bachelor's degree in Food Science, Nutrition, Biology, Chemistry, or a related life science field. 1-3 years of experience in the food industry, with quality or regulatory experience preferred. Proficiency in Microsoft Office Suite, including strong skills in Excel. Proficiency with Adobe Acrobat and strong database skills. Ability to perform accurate document control and maintain high-quality records. Additional Skills & Qualifications Experience with Intellix or similar documentation or data management systems is a plus. Demonstrated ability to work in a fast-paced, deadline-driven environment. Comfort working with large data sets and documentation queues. Interest in contributing to the development of well-known consumer food brands. Ability to quickly learn and adapt to established documentation processes and tools. Work Environment The standard schedule is Monday through Friday, with core hours from 8:00 AM to 4:00 PM and flexibility for a start time between 7:00 AM and 8:30 AM. The role follows a hybrid work model: remote on Mondays and Fridays and onsite Tuesday through Thursday. The position involves close collaboration with R D, Quality & Food Safety, Regulatory, and Procurement teams in a fast-paced yet supportive environment focused on bringing high-quality cereal products to market. Work is primarily managed through a documentation queue, with priorities shifting based on evolving project timelines and R D needs. The workload typically includes managing documentation for 40-50 ingredients at a time. Overtime hours are highly unlikely. Job Type & Location This is a Contract position based out of Lakeville, MN. Pay and Benefits The pay range for this position is $25.00 - $30.00/hr.
