Job Description
Job Summary Groomer's Choice Pet Products is seeking a detail-oriented and experienced Accounts Payable and Sales Tax Specialist to join our accounting team. This role is responsible for supporting the company's financial operations through accounts payable processing, sales and use tax compliance, general accounting activities, and related administrative functions. Reporting directly to the Controller, the Accounts Payable and Sales Tax Specialist plays a key role in ensuring the accuracy, integrity, and timely completion of accounting and finance processes. Principal Duties and Responsibilities Accounts Payable Process and verify vendor invoices for accuracy and proper coding. Reconcile the accounts payable ledger to ensure all invoices and payments are accurately recorded. Generate vendor payments, including checks, ACH transactions, and other automated payment methods. Process international wire transfers for overseas vendors. Monitor accounts payable aging reports and ensure timely payment of outstanding obligations. Facilitate weekly vendor payments Establish and maintain vendor records and files. Obtain and maintain required vendor documentation, including W-9 forms and Certificates of Insurance (COIs). Assist in preparing annual 1099 forms. Maintain prepaid accounts and associated accounting entries. Maintain fixed assets and CIP accounts and associated accounting entries. Tax Compliance Prepare and file state and local sales and use tax returns. Maintain compliance with applicable sales and use tax regulations. Assist with tax-related reporting and documentation as needed. General Accounting Enter, reconcile, and review corporate credit card statements. Maintain organized financial records and document retention systems. Support month-end and year-end accounting activities as assigned. Qualifications Education & Experience Associate's or Bachelor's degree in Accounting, Finance, or a related field a plus Minimum of three (3) years of accounting or finance related experience. Experience in accounts payable strongly preferred Experience preparing and filing multi-state sales and use tax returns strongly preferred Experience with prepaid accounting procedures. Experience with fixed asset accounting. Knowledge of Generally Accepted Accounting Principles (GAAP). Experience with inventory and non-inventory accounts payable. Skills & Competencies Proficiency in Microsoft Business Central, Avalara, QuickBooks and Shopify preferred. Advanced proficiency in Microsoft Excel and working knowledge of Microsoft Word and Outlook required. Strong organizational skills with exceptional attention to detail and accuracy. Excellent verbal and written communication skills. Effective problem-solving and analytical abilities. Self-motivated with the ability to work independently and manage multiple priorities. Experience with digital invoice storage and paperless environment a plus. Demonstrates accountability, professionalism, and sound judgment. Ability to maintain confidentiality and handle sensitive financial information.
