Job Description
We are seeking a compassionate, mission-driven Director of Finance and Administration to join our nonprofit organization dedicated to supporting adults with disabilities. This leadership role is ideal for a collaborative professional who is passionate about using their financial and operational expertise to make a meaningful impact in the community. The Director will oversee financial management, budgeting, payroll, human resources support, administrative operations, and technology coordination while working closely with executive leadership, staff, and community partners. The successful candidate will help ensure the organization's long-term financial health and operational excellence so we can continue providing high-quality services, advocacy, and support to the individuals we serve. Essential Functions, Duties, and Responsibilities 1. Maintaining all computer based accounting and other financial records including general ledger and any supporting journals, working under the direction of the Executive Director, corporate officers and the external auditor. 2. Maintaining and reconciling the checking accounts, including the principal operating accounts, payroll accounts, and investment accounts. Overseeing the maintenance reconciling and auditing of house checking accounts. 3. In the absence of a Director of Human Resources, or in concern with such person, maintaining personnel records, including time/attendance, leave records, benefit records and other records, as pertaining to personnel. Be knowledgeable of employee benefit plans. Be responsible directly, or through designee for explaining benefits to new staff, answering questions from staff, and, as necessary, intervening with vendors on behalf of staff if difficulty obtaining benefits arises. 4. Supervising the issuing of all agency checks, payroll, accounts payable, and other checks; obtaining signatures and following corporate procedures. 5. Reviewing, reconciling and issuing internal financial statements monthly. 6. Preparing financial documents for the Board of Directors package, to include budget variances and analysis. 7. Exercising full office management responsibility, upon being designated for this task. Office management includes supervision of full and part time clerical or bookkeeping assistants and temporary employees; liaison with the auditor and insurance vendors; maintenance of supplies; machine operation and maintenance; and telephone equipment and maintenance. 8. Supervise and evaluate support staff in payroll, accounts payable, accounts receivable, and other office/business office functions within the agency. 9. Preparing Federal, state and other administrative / financial documentation that may be required by funding sources. 10. Upon request of the Executive Director, assisting in representing CSI before the community, funding sources, and other constituencies. 11. In carrying out the duties and responsibilities described above, acting as liaison to: 1. the external accounting / auditing firms 2. corporate officers and members of the Board of Directors, employee benefit brokers and benefit providers 3. equipment vendors relative to equipment leases, lease purchase agreements, or service contracts 4. the vendors, relative to account status, charge accounts, payment schedules, etc. 5. banks, relative to accounts and lines of credit, and their status. 12. Serving as coordinator of information technology, to propose upgrading of hardware and software. 13. Problem solving with the Executive Director and corporate officers whenever necessary to safeguard the financial health of the organization. 14. Preparing / assisting in preparation of the annual budget document with the support of a corporate officers. 15. Preparing supporting documentation where needed. Negotiating the budget with government counterparts when needed. 16. Performing other duties as may from time to time be assigned.
WORK ENVIRONMENT
The Director of Finance and Administration's work environment is primarily in an office. They will be required to travel for business purposes to include, but not be limited to, Board of Directors' meetings and training conferences. Required Trainings The Director of Finance and Administration will maintain all state/CSI mandated trainings as per CSI policy. Job Qualifications The Director of Finance and Administration shall have a B.S. / B.A.
in Accounting, Finance, Business or other related field, plus at least 3 years' experience in accounting / fiscal analysis. Other appropriate related combinations of education and experience may substitute. Other Requirements Minimum age of 20 years; Valid MA Driver's License; Satisfactory criminal, driving and employment history per the CSI Personal Policy.
