Multi-Community Care and Homes Job Description:
Director of Finance :
In charge of the financial side of operations. Responsible for analyzing data and preparing statements to reconcile income with expenses to keep track of company earnings and projected cash flow. Daily tasks involve developing and managing a budget and ensuring compliance with financial regulations, negotiating loans and lines of credit, creating financial statements, and overseeing investments. Track legislative changes for impact on services.Human Resources Director :
Responsible for providing employment law guidance to management, updating management on complying with federal and state legal requirements and administering all benefits offered by MCCH.Reportability:
Executive Director Board of Directors Responsibilities:
Financial:
Financial statements : Prepare and provide financial statements to the Board monthly by journalizing all monetary transactions over the course of each month. Accounts payable : Pay all bills due and provide accounting of same to Board monthly. Accounts receivable : Coordinate and negotiate service agreements for the people we support at the County level and with DHS for exceptions to Disability Waiver Rate System rates. Apply for available grants and account for funds received during the grant period.Assets :
Maintain and track all capitalized items. Track and journal depreciation of sameBudget :
Prepare an annual budget and submit to Board for approval in the fall of each yearDonations :
Track all donations and send receipts and thank you cards to donorsBanking :
Make all cash deposits as needed. Replenish house petty checking accounts and petty cash accounts monthly. Reconcile petty checking accounts and cash accounts monthly. Open and close accounts at banks at the direction of the Board. Manage various CD's at the direction of the Board. Maintain cash management fund.Audit :
Provide all items requested by outside auditing firm, be prepared to answer questions on all aspects of accounting functions during the audited year. Journal adjusting entries and coordinate Audit presentation to the Board. Form 990 andMN State Charitable Organization Report :
Provide all items requested by outside CPA firm for preparation of the forms. Coordinate presentation to the Board for approval. Form 5500 : Work with outside investment provider to ensure their preparation of the form is correct and complete submission of same. 1094C :
Provide information for ACA reporting to outsourced agency and approve submission of same.Sales and Use Tax Return :
Submit report annually to State of MN W9 and 1099 : Request W9 for all work performed by outside vendors for 1099 reporting. Submit information for 1099's to outside vendor to produce and send to all applicable parties. File 1096 with appropriate government agencies.Accounting Software :
Implement revisions as they are produced and provided by the software company. Add supplements as needed.Payroll :
Run bi-weekly payroll for all employees. Submit federal and state taxes bi-weekly. Submit 403B contributions and 403B loan payments bi-weekly. Maintain employee files in payroll module. Provide Department of Labor forms to each employee for any changes to their pay or to their agreed upon withdrawals. Respond to inquiries on employee wages by outside agencies. 941 : Prepare and submit quarterly 941 formsState :
Prepare and submit quarterly state payroll reportsUnemployment :
Prepare and submit quarterly unemployment reports and report these to the unemployment trust. W2 and W3 : Provide W2's annually to employees and submit W3 to regulatory agencies.Rep Payee Functions :
Oversee rep payee reporting by office staff. Oversee client accounting of funds by office staff and audit of same by social security. Open and close client rep payee accounts at the bank. OSHA Form 300 : Prepare osha forms and post at houses and submit annual report.Housing Support :
Track housing support payments for all people we support and coordinate changes with the County.General Liability :
Coordinate insurance renewal annually.Worker's Compensation:
Coordinate renewal of policy annually. Coordinate all worker's compensation claims between employees and worker's compensation carrier.SS Bond:
Coordinate renewal on an annual basis.Cost Report:
Prepare and submit cost report to DHS once every five years.Annual Business Renewal Mn State:
Ensure business is renewed annually.Property Tax Exemption:
Maintain property tax exemption by filing appropriate documentation every three years.Mortgage:
Track and coordinate mortgages with bank.Conflict of Interest and Business Relationship:
Coordinate signatures from Board to attest to these areas as required by IRS.Company Credit Cards:
Maintain all company credit cards and monitor same.OIG:
Search exclusion list for all contractors retained by company.OES:
Respond to occupational employment and wage statistics surveys when received.Human Resources:
Benefits:
Coordinate and implement benefits to include health insurance, Health Savings accounts, dental insurance, vision insurance, short-term disability, long-term disability, life insurance, AFLAC, Legal Shield, Voluntary Life Insurance, COBRA, FMLA, PFML, leave time and Safe and Sick time, and 403B Investment Plan.Open Enrollment:
Coordinate and run open enrollment for health, dental, vision, legal and AFLAC annually.Employee Onboarding:
Meet with and provide benefit package to new employees.Employee Exits:
Meet with and provide an end of employment benefit review to exiting employees.Plan Documents:
Ensure cafeteria plan is updated and in compliance with regulations.Coordination:
Coordinate all benefit package renewals with providers of same.Employment Law:
Be knowledgeable and available as a resource to management in employment related issues. Other Duties as assigned by Executive Director or Board of Directors. This position isSalaried:
Basis for exemption is Administrative. A 40-hour week is expected. Qualifications to Hold thisPosition :
Preferred:
Bachelor of Science in Accounting, Finance or Business Administration. A 2 year Associate's Degree in a related field and two plus years of accounting experience will be considered. Excellent communication skills Must have 2 plus years of experience in accounting.Job Type:
