Job Description

Exercise advanced oversight over multi-faceted business office operations to include, but not limited to, planning, organizing, and supervising the operations of the business office; maintaining operational financial records, overseeing student billing, collections, accounts payable, and purchasing cycles; preparing or reviewing budget and journal entries, and assisting with a variety of related reports and analyses; assist the Vice President of Administrative Services as directed. Essential Job Functions Supervise the cashier, accounting technicians, campus store manager, and purchasing and shipping/receiving manager to ensure the goals, objectives, and needs of the college are being met and perform annual evaluations of direct reports. Verify financial reports including, but not limited to, monthly, quarterly, fiscal year-end and calendar year-end reports; and 1098Ts, and 1099s processed by accounting staff. Prepare budget and journal entries as needed and authorized by the Vice President of Finance and Administrative Services. Review, validate, and enter budget and journal entries prepared and authorized by the Vice President of Finance and Administrative Services or the Staff Accountant. Assist the Vice President of Finance and Administrative Services as needed with year-end financial statements and other financial documents. Serve as a reviewer of the prepared year-end financial statements and other financial documents. Prepare, review, and keep updated the documented internal processes and procedures of the Business Office and ensure adequate cross training on these processes and procedures occurs. Monitor cash balances in all funds and request cash certifications of State funds monthly. Serve as the primary backup to draw down funds from the Department of Education Grants Management System (G6), NSF Research.

Gov, and other state/federal systems in the absence of the Vice President of Finance and Administrative Services. Post budgets as directed by the Vice President of Finance and Administrative Services. Review accounts receivable reconciliations monthly. Review other reconciliations monthly as directed by the VP of Finance and Administrative Services. Ensure routine reconciliations of Due To/From(s) and other cash balance exceptions for the 212 reporting. Ensure monthly sales tax return is submitted. Generate invoices and billing for funds due Edgecombe Community College from financial aid and grant awards, restricted programs and special activities. Assist Vice President of Finance and Administrative Services by evaluating the effectiveness and efficiency of operations and promoting professional growth and effective teamwork among business office staff. Assist auditors in ensuring sound fiscal controls. Evaluate and test all patches relating to finance for approval to be put in Production. Review cash management plan annually. Perform other related duties incidental to the work described herein. Probationary Period Disclosure Satisfactory completion of a 90-day probationary period is required for continued employment. Minimum Requirements Bachelor's degree in accounting, business administration, or business-related field with a thorough knowledge of accounting principles and procedures and 3+ years of progressively responsible experience in managing processes and staff. An understanding of key accounting concepts and internal controls, and intermediate knowledge of using excel spreadsheets. Preferred Advanced degree in accounting or business with experience in a Business Office of a North Carolina Community College. Experience with Colleague or a similar Higher Education ERP.
