Job Description

Office Manager / Assistant Controller Weimer Automotive Group - Mooresville, WV Drive Operational Excellence. Support Financial Accuracy. Help Lead a Growing Dealership. Weimer Automotive Group is seeking a highly organized, detail-oriented, and motivated Office Manager / Assistant Controller to join our leadership team in Warfield, West Virginia. This key position plays a critical role in ensuring the accuracy of dealership accounting processes, maintaining compliance, supporting payroll and HR administration, and assisting dealership leadership with financial reporting and operational controls. Position Summary The Office Manager / Assistant Controller assists in overseeing the dealership's accounting office and administrative operations. The ideal candidate will possess strong dealership accounting knowledge, exceptional attention to detail, and the ability to manage multiple priorities while maintaining confidentiality and accuracy. This position works closely with the Controller, General Manager, department managers, and corporate leadership to ensure timely financial reporting and compliance with company policies and procedures. Essential Responsibilities Accounting & Financial Operations Assist with month-end and year-end closing processes. Review and reconcile general ledger accounts. Monitor schedules and ensure timely reconciliation of balance sheet accounts. Assist with preparation of financial statements and management reports. Review and post accounting transactions for accuracy. Reconcile bank statements and manufacturer accounts. Monitor and reconcile floorplan accounts. Assist with cash management and daily cash reconciliation. Support internal and external audits. Payroll & Human Resources Administration Process or assist with payroll administration. Maintain employee records and payroll documentation. Support onboarding and offboarding processes. Assist with benefits administration and reporting. Ensure compliance with federal and state employment regulations. Maintain confidentiality of employee information. Dealership Office Management Supervise office staff and accounting personnel as assigned. Ensure compliance with company accounting policies and internal controls. Manage office procedures and administrative workflows. Coordinate vendor payments and accounts payable functions. Oversee accounts receivable collections and processes. Maintain proper document retention and recordkeeping procedures. Compliance & Controls Ensure compliance with manufacturer requirements and dealership policies. Assist with tax filings, title reconciliations, and regulatory reporting. Support fraud prevention initiatives and internal controls. Identify opportunities for process improvement and increased efficiency. QualificationsRequired Minimum 3 years of accounting, office management, or dealership accounting experience. Strong understanding of accounting principles and financial reporting. Experience with general ledger reconciliations and month-end close. Proficiency with Microsoft Excel and accounting software. Strong organizational and analytical skills. Excellent communication and interpersonal abilities. Ability to maintain strict confidentiality. Preferred Automotive dealership accounting experience. Experience with Dealertrack, CDK, Reynolds & Reynolds, or similar DMS systems. Payroll and HR administration experience. Bachelor's degree in Accounting, Finance, Business Administration, or related field. Previous supervisory experience.
