Job Description
Under the general direction of clinic administrator, responds to patient inquiries, questions, and concerns regarding registration, cost of treatment; serves as the receptionist for the clinic's main telephone lines; serves as a liaison between medical and support staff for all patient issues including but not limited to patient check-in and out, grievances, etc. Provides general office support with a variety of administrative tasks. Performs various marketing duties to actively promote the clinic. Duties & Essential Job Functions (May include any and/or all of the following: Administration Greets guests in a professional, friendly, and hospitable manner. Appropriately handles and directs incoming telephone calls in a polite, friendly, and timely manner. Ensures that patient appointments are confirmed at least one day in advance and that the patient benefits coordinator billing company performs insurance verifications and prior authorizations. Reconciles daily receipts received. Maintains and verifies EHR for accuracy of forms, photos, notes, and etc. Maintains a clean and welcoming front office environment at all times. Delivers patient-centered services to promote the highest quality of care to patients. Operates and maintains copiers, fax machines, scanners and office equipment. Organizes and maintains clinic forms and office supplies required for front desk activities in addition to maintaining stockroom(s). Checks patient billing for accuracy prior to payment of CPL bills. Ensures EHR accuracy by scanning files to correct patient account. At the beginning of each day, turns on or plugs in appliances and machine according to the clinic's protocols and unlocks all entrances. At the close of each day, secures the building, turns off or unplugs appliances and machines according to medical center protocols and locks all entrances. Coordinates onsite and offsite meetings. Maintains an appropriate professional appearance and demeanor in accordance with clinic policy. Screens for security, opens, sorts, and distributes mail, electronic mail and faxed communications. Organizes the clinic's calendar. Maintain strict compliance with State, Federal, other pertinent laws or regulations (e.g., OSHA, HIPAA, HR policies and practices). Other duties as assigned. Ensures accuracy in updates to patient fee schedules. Manages the correspondence between referring physicians & clinic physicians with referral/consult forms/letters. Patient Care Coordination Assists patients in accurately completing appropriate forms through the electronic medical records system and documents for required information. Sets up accounts and prepares medical records for new patients in addition to maintaining medical records of existing patients. Reviews patient account information in addition to registering patients according to clinic's protocol. Provides patients with a summary of medical charges and collects payments prior to services rendered. Posts charges and supports billing services in accordance with clinic's policies. Emails or mails new patient packets. Coordinates front and back-office patient flow and notifies back-office staff of each patient's arrival. Directs billing inquiries to billing company and coordinates with office staff in addition to responding to inquiries regarding clinic bills. Ensures that all patients due to reschedule or continuation of treatment are scheduled for an appointment at the appropriate time. Respects and maintains the privacy and dignity of patients, assures client confidentiality at all times. Exhibits an understanding of ethical and medicolegal responsibilities related to protecting the patients, physicians, and practice. Acts as the liaison between medical professionals, clinic staff and patients. Organizes and maintains fee schedule. Ensures all pricing is accurate and up-to-date on all forms of fee schedules: EMR, patient fee sheets, super bills and etc. Knowledge, Skills, Abilities, and Personal Characteristics Excellent telephone etiquette. Ability to work well under pressure. Ability to work accurately, and efficiently with attention to detail. Ability to interact effectively and in a supportive manner with persons of all backgrounds.
