In this vital role, you will manage front desk operations, serve as the first point of contact for visitors and callers, and support various administrative functions to ensure smooth office workflow. Your positive attitude, excellent communication skills, and ability to multitask will help create a friendly and efficient environment for clients, staff, and guests alike. Responsibilities Greet visitors warmly and direct them appropriately, ensuring a positive first impression. Answer multi-line phone systems promptly and professionally, providing accurate information or routing calls efficiently. Manage appointment scheduling and calendar management for staff or professionals using digital tools like Google Workspace or Microsoft Office. Handle incoming and outgoing correspondence, including emails, mail, and packages, maintaining organized filing systems. Support office management tasks such as data entry, proofreading documents, and maintaining office supplies inventory. Assist with clerical duties including filing, photocopying, scanning, and maintaining accurate records. Provide exceptional customer service by addressing inquiries promptly and courteously while supporting clients' needs with professionalism. Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Experience with multi-line phone systems and phone etiquette to handle calls confidently and courteously. Bilingual abilities are highly desirable to serve diverse client needs more effectively. Previous office experience or clerical experience that demonstrates attention to detail and reliability. Knowledge of QuickBooks or bookkeeping skills are a plus for handling basic financial transactions.
