In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive first impression for everyone who walks through our doors. This paid position offers an exciting opportunity to develop your administrative skills in a fast-paced environment while supporting various office functions. Duties Greet visitors warmly, verify appointments, and direct them appropriately to ensure a professional and friendly atmosphere Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using excellent phone etiquette Maintain accurate records through data entry, filing, and proofreading to support office documentation needs Handle incoming and outgoing correspondence via email and postal mail with attention to detail and confidentiality Support office management tasks such as calendar management, scheduling appointments, and organizing meetings Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and basic bookkeeping with QuickBooks Assist with clerical duties such as photocopying, faxing, organizing files, and maintaining office supplies Experience Prior office experience or administrative support roles demonstrating strong organizational skills and multitasking ability Proven customer service experience with excellent communication skills in both bilingual settings (preferred) or monolingual environments Familiarity with front desk operations, multi-line phone systems, and office management software such as Microsoft Office and Google Workspace Experience in medical or dental reception is a plus but not required; relevant personal assistant or clerical experience is valued Knowledge of data entry procedures, bookkeeping basics with QuickBooks, and time management techniques Ability to handle phone etiquette professionally while managing multiple tasks efficiently in a fast-paced environment This role is ideal for motivated individuals eager to contribute to a welcoming workplace environment while honing their administrative skills.
