Job Description

Overview We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a positive and professional experience at all times. Your multitasking skills, friendly demeanor, and organizational expertise will help keep our office running smoothly and efficiently. Responsibilities Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly. Manage multi-line phone systems with excellent phone etiquette, directing calls accurately and efficiently. Handle incoming correspondence, emails, and inquiries with clarity and professionalism. Maintain organized filing systems, data entry records, and ensure all documents are accurate through proofreading and meticulous attention to detail. Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings. Assist with clerical duties including photocopying, faxing, mailing, and inventory management of office supplies. Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports and documents as needed. Perform basic bookkeeping tasks using software to support financial record keeping. Ensure smooth day-to-day operations by managing office organization and supporting administrative functions like proofreading documents or data entry. Provide customer support by addressing inquiries promptly via phone or in person, demonstrating excellent customer service skills. Support additional administrative tasks such as filing, document scanning, or personal assistant duties as required. Experience Previous office experience or clerical experience is highly preferred; familiarity with front desk operations is a plus. Proven ability to manage multi-line phone systems efficiently while maintaining professionalism. Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and basic bookkeeping software like QuickBooks. Bilingual skills are advantageous for communicating with diverse clients or visitors. Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently. Experience in customer service roles that involve phone etiquette and client interaction is desirable. Knowledge of medical or dental receptionist duties can be beneficial but is not required; relevant personal assistant experience is also valued. Requirements and Qualifications High school diploma. Experience working as a patient representative. Knowledge of medical terms and practices. Professional manner and appearance. Strong interpersonal and communication skills. Meticulous attention to detail. Proficient in Microsoft Office Suite (Word, Excel, Outlook, and Access.) Excellent interpersonal skills Ability to maintain confidentiality of company information.
