Job Description

Overview We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a positive and professional experience. Your energetic approach and exceptional organizational skills will help maintain smooth office operations, manage multi-line phone systems, and support various administrative functions. Duties Greet visitors and clients warmly, providing excellent customer service and ensuring they feel valued from the moment they arrive Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently to appropriate departments or personnel Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and professionalism Maintain organized filing systems, perform data entry tasks, and ensure all records are up-to-date and easily accessible Schedule appointments, manage calendars, and coordinate meetings using tools like Google Workspace or Microsoft Office Assist with office management tasks such as supply inventory, proofreading documents for accuracy, and supporting administrative projects Support bookkeeping activities using QuickBooks or similar software to track expenses and invoices Requirements Proven experience in office management, clerical work, or as a receptionist in a fast-paced environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills Excellent phone etiquette with experience managing multi-line phone systems and providing customer support Bilingual abilities are highly desirable to serve diverse client needs effectively Exceptional organizational skills with the ability to prioritize tasks efficiently and manage time effectively Previous experience in medical or dental reception is a plus but not required; relevant personal assistant experience is valuable too Attention to detail for proofreading documents and maintaining accurate records Ability to handle confidential information discreetly while demonstrating professionalism at all times Join us in creating a welcoming environment where every visitor receives outstanding service!
