Job Description
Job Overview We are seeking an energetic and detail-oriented Front Desk Receptionist/Sales professional to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support sales initiatives to enhance client engagement. Your enthusiasm and organizational skills will help create a positive first impression for visitors and callers alike, while your administrative expertise ensures smooth office operations. Responsibilities Greet visitors warmly, assist with check-in procedures, and direct them appropriately within the office Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using professional phone etiquette Handle incoming and outgoing correspondence, including emails, mailings, and faxes with accuracy and confidentiality Support sales efforts by providing information about services or products, scheduling appointments, and following up with clients Maintain organized files, data entry records, and office supplies to ensure a tidy and efficient workspace Utilize computer skills to operate Microsoft Office Suite, Google Workspace applications, and other relevant software for administrative tasks Support office management tasks such as inventory control, filing systems, and general clerical duties Provide excellent customer support by addressing client questions or concerns promptly and professionally Contribute to a positive office environment through effective organization, time management, and teamwork Perform routine clerical accounting duties within a fast-paced finance department, while adhering to established accounting standards Be a resource for accounts payable and receivable Assist in year-end audit requests Execute accurate reporting, filing, and database management in multiple systems Secures financial information by completing database backups, keeping information confidential. Duties 1. To be first point of contact for guests, residual/firewood retail sales, employees, etc.. and point them in the right direction or service their questions. 2. To Answer incoming phone calls and direct calls to appropriate Dept. Not to make judgment call or decision allow proper member of management team to address. 3. To Organize, develop, and grow firewood sales program which includes, sales meetings, truck scheduling, wholesale, and retail. 4. Manage c-dot compliance for trucking. 5. To take notes and represent the office in monthly safety meetings, post results of monthly safety meetings. 6. To build employee quotes for managers related to lumber and other items including scrap metal, plastics, wood residuals ETC. 7. Report to GM weekly on firewood program, safety concerns, and any other office or plant needs/requirements that have been brought to your attention. 8. Have strong attendance 10am-4:00 pm every day 5 days a week…and can extend hours as needed. 9. To Keep office supplies organized and report deficiencies in supply's to appropriate supervisor so they can be reordered. 10. Keep conference room in good order and prepare for any scheduled meetings, that include conference room and tours. 11. Keep work area tidy and professional. 12. To learn and be proficient with Data collection, credit card machine, Scale system, and any other office equipment necessary to perform daily functions. Skills and Qualifications Natural proficiency with math Knowledge of basic financial, tax, and accounting principles Excellent organizational skills and attention to detail Proficient in Microsoft Office with aptitude to learn new systems Efficient in Excel Preferred Qualifications 1-2 years of clerical accounting experience
