Job Description
Overview The Front Office Coordinator is the first point of contact for clients, visitors, and staff at our behavioral health outpatient clinic. This role is responsible for delivering excellent customer service while managing administrative functions including phone management, patient scheduling, insurance verification, and front desk coordination.
Key Responsibilities:
Client Interaction & Reception:
Greet all clients, visitors, and vendors in a warm, professional manner. Answer incoming calls, respond to inquiries, and route calls appropriately. Maintain a calm and welcoming front office environment, sensitive to clients' mental health needs.Scheduling & Appointments:
Schedule, confirm, cancel, and reschedule appointments accurately using the clinic's EHR system. Coordinate appointments for therapists, psychiatrists, and other providers as needed. Notify clinical staff of no-shows, cancellations, and scheduling issues.Insurance & Billing Support:
Collect and input insurance details during intake and follow-up appointments. Collect co-pays, balance, and provide receipts or invoices as needed. Collaborate with billing staff regarding approvals and copays.Administrative & Documentation Duties:
Maintain accurate and confidential patient records in compliance with HIPAA. Assist with intake paperwork and ensure all forms are completed properly. Update patient demographics and contact information in the system regularly. Maintain the cleanliness and order of the reception area and front office supplies.Qualifications:
Education:
High school diploma or equivalent required; Associate's degree or medical office training preferred.Experience:
Minimum 1 year in a healthcare, mental health, or customer service setting.Skills:
Excellent verbal and written communication Proficient in Microsoft Office and EHR systems (e.g. Valanat, Theranest etc.) Knowledge of insurance terminology and processes Strong organizational and multitasking abilities Ability to handle sensitive situations with empathy and confidentialityWorking Conditions:
Primarily works in an office setting with occasional interaction with distressed individuals. Must be able to sit, stand, and use a computer for prolonged periods. May require flexibility with work hours to accommodate patient needs.Preferred Traits:
