Job Description

We are seeking a reliable and detail-oriented Front Office Assistant to join our growing family practice at our newest location in Gibsonia. The ideal candidate will be responsible for supporting the clinic's daily operations by assisting with patient check-in/check-out, verifying insurance, scheduling follow-up appointments, and managing patient information within the electronic medical records (EMR) system. This role is essential to maintaining smooth office operations during the late end of our clinic day, and we require candidates who can commit to the specific shift hours of Monday-Friday 8:30AM - 5PM. In this role, you will ensure accurate documentation of patient interactions and communicate important information to the clinical team as needed. You will also be responsible for answering and triaging phone calls, providing resources and information to patients, and ensuring that office closing tasks are completed efficiently. As a key member of our front office team, professionalism, strong communication skills, and attention to detail are essential to the success of this position.
Expected Duties and Responsibilities :
  • Assist in checking-in and checking out patients for their appointments, verifying health insurance, processing co-pays or bills (as needed), updating or inputting patient information into the EMR system, communicating necessary information to the back-office team regarding the patient (as needed).
  • Schedule follow up appointments and provide resources to patients regarding referrals or outside specialists as recommended by the provider.
  • Document interactions with patients (i.e. paperwork being dropped off, reaching out to patients, etc.) in their chart (as needed).
  • When appropriate, triage incoming phone calls, doing your best to ensure calls are answered in a timely manner. Ensure notes are taken and the message is clearly communicated to the appropriate provider or staff member, as situations arise.
  • Register and check-in patients at their time of arrival by utilizing our organization-wide intake solution.
  • Print superbills and route to proper provider and/or MA for patient appointment.
  • As necessary, provide information to patients and answer patient questions during the check-in/check-out process.
  • When applicable, complete referrals through our online portal and provide required information to patients.
  • Provide resources to patients including, but not limited to, preventative and quality measures, specialists, etc.
  • Obtain and route information regarding prior authorizations.
  • Demonstrate familiarity with insurance sites and verifying insurance plan information.
  • Demonstrate efficiency in completing necessary tasks associated with closing the office.
  • Demonstrate competency in utilizing the organization-wide EMR system including searching for patients, viewing the schedule, scheduling appointments, etc.
  • Adhere to all HIPAA and OSHA guidelines and regulations.
  • Perform and complete additional tasks and projects directly or indirectly related to your position when assigned by the Clinical Coordinator or Practice Director.
  • Maintain professional behavior and appearance while in the clinic and front office.
