BASIC PURPOSE
The primary purpose of this position is: to deliver a high level of customer service to our stores for distribution related issues, including store claims, current credit policies, load dispatch times, and returns to warehouse and store to store transfers. Ensure accurate and timely processing of claims. Research all claims; verifying their accuracy and validity using available resources including (but not limited to) EXE Selection Data and Loading Diagrams. Research includes verifying that the store was charged for the item reported short, validating the delivery date reported is correct and determining if the claim was entered within the allowed time frame, checking invoice against lists of audited loads, confirming in EXE (IMORB, ISOCA, VVPMA, AIRCB, RMVUA, IBPMA, Crystal Reports) whether the product was selected - making note of the selector's name and examining the loading diagram to determine whether the product was shipped to the correct store. Request physical count of warehouse slots, and solicit input from Distribution Supervisors if necessary. Apply the current credit policies, and approve or reject claims based on the information gathered. Locate mis-loaded or mis-delivered pallets and arrange for them to be transferred to the correct store or charge and credit stores as appropriate. Analyze the type of claims received, watching for trends that could signify wide spread problems and forward information to upper management. Respond to phone calls, answer store questions or direct calls to the appropriate person or department. Take requests for store returns to warehouse, store to store transfers, and salvage pick-ups. Obtain approval and coordinate the return/transfer with Transportation and Inventory Control. Notify store department managers when they have left off pallets. Compile claim research into a database used to create reports that pinpoint problem areas for Distribution Operators, Procurement and Quality Assurance. Distribute reports to the appropriate recipients. Enter claims into the Store Delivery Claims Application as a service to stores that need assistance. Charge and credit stores for miscellaneous product as needed. Process requests for rush orders. Maintain an accurate filing system for store claim research and loading diagrams This description is simply an overview and does not outline all required responsibilities and tasks. The pay range for this position is $19.50 to 29.25 an hour and will be commensurate with background, experience as well as internal equity. 1st shift. Weekend work required.
