About the Organization Nevada County CASA (Court Appointed Special Advocates) is committed to ensuring that every child in foster care has a dedicated advocate and the support they need to thrive. Through community partnerships, volunteer advocacy, and a mission-driven approach, CASA works to improve outcomes for children who have experienced abuse or neglect. We are seeking an experienced, detail-oriented, and mission-driven financial professional to support the organization's fiscal health and operational excellence. About the Role The Full-Charge Bookkeeper is responsible for the day-to-day financial operations of the organization, including full-cycle bookkeeping, payroll administration, accounts payable and receivable, grant and contract billing, reconciliations, audit preparation, and financial reporting. This role serves as a critical financial operations partner to organizational leadership and works closely with the Executive Director, program leadership, funders, external auditors, and board finance stakeholders. This is a hands-on role requiring strong QuickBooks Desktop expertise, exceptional organizational skills, and the ability to independently manage multiple deadlines in a nonprofit environment. How You'll Have an Impact Financial Administration & Oversight
  • Maintain the general ledger and ensure accuracy and completeness of all financial transactions.
  • Perform monthly bank, credit card, and account reconciliations.
  • Prepare monthly financial reports, including profit and loss statements, balance sheets, budget-to-actual reporting, and cash flow support reporting.
  • Support annual budgeting and financial planning in partnership with leadership.
  • Assist with annual audit preparation and coordination with external auditors and tax preparers.
  • Maintain organized financial documentation and internal fiscal controls. Payroll Administration
  • Process biweekly payroll for approximately 23 employees accurately and on time.
  • Maintain payroll records, PTO accruals, payroll changes, and employee deduction records.
  • Process payroll tax deposits and prepare quarterly and annual payroll filings, including W-2 reporting.
  • Coordinate retirement contributions, benefit deductions, and payroll compliance requirements. Accounts Payable, Accounts Receivable & Grant Billing
  • Manage accounts payable, invoice processing, vendor payments, and payment tracking.
  • Manage accounts receivable, deposits, and cash receipt documentation.
  • Prepare monthly grant and contract invoices and ensure reporting deadlines are met.
  • Track budget allocations, contract billing requirements, and reconciliation of actual expenses against funding sources.
  • Maintain organized billing support documentation for funder audits and compliance reviews. Compliance, Audit & Operational Support
  • Support county, federal, and funder audits and compliance reviews.
  • Ensure adherence to nonprofit financial controls and documentation requirements.
  • Collaborate with leadership on financial insights, reporting needs, and operational initiatives.
  • Support onboarding-related payroll and benefits administration documentation as needed. What We're Looking For Required Experience & Qualifications
  • 5+ years of full-cycle bookkeeping or accounting experience.
  • Demonstrated expertise with QuickBooks Desktop (required).
  • Hands-on payroll processing experience, including payroll tax filings.
  • Strong bank reconciliation, accounts payable, accounts receivable, and financial reporting experience.
  • Advanced proficiency in Microsoft Excel, Word, Outlook, and Microsoft Office tools.
  • Ability to independently manage multiple priorities with exceptional accuracy and confidentiality. Preferred Qualifications
  • Nonprofit accounting experience.
  • Grant billing, contract invoicing, or fund accounting experience.
  • Audit preparation and compliance support experience.
  • Experience supporting budgeting and board-level financial reporting. Important Details
