Job Description
Role Overview:
We are seeking a dynamic and highly organized Grain Elevator Office Manager to lead the administrative operations at our grain handling facility. This pivotal role combines office management, customer coordination, and teamwork to ensure smooth daily functions. The ideal candidate will thrive in a fast-paced environment, demonstrate exceptional communication skills, and possess a passion for streamlining processes to support our operational goals.You will be the "face" of the elevator, greeting drivers and customers, processing tickets, and ensuring all documentation is accurate and timely. As the backbone of the office, you will play a vital role in maintaining efficiency, fostering teamwork, and ensuring compliance with company policies.
Key Responsibilities & Reporting Scale Operations & Ticketing:
Operate the scale house to weigh inbound and outbound grain trucks; generate accurate legal scale tickets using AgVision software, be responsible for applying contracts and tracking spot priced loads. Monitoring inventory & working with the team to make sure grain is available for loading and unloading. Maintain and update complex Google Sheets for daily and weekly grain position tracking.Logistics Assistance:
Utilize shared Google Sheets to track carrier IDs, freight rates, and driver destination info to ensure efficient movement of commodities.Grading & Quality Control:
Record moisture, foreign material factors, and overall quality of the grain. Container loading administrative support Ensure correct documentation of weights, seals, grades, booking paperwork information. Coordinate with crew and the Missouri Department of Agriculture loading hours and paperwork. Assist with rail billing containers for export Effectively communicate with sales customers to submit documentation. Obtain grain samples for quality control. Communicate with truck drivers on inbound and outbound container logistics.Communication Hub:
Help manage the facility's radio and phone communications, relaying information between office and the elevator ground crew. Qualifications High school diploma required.Analytical Skills:
Ability to spot discrepancies in large data sets (e.g., matching a direct-ship ticket from three weeks ago to the correct contract). Attention toDetail:
Ability to reconcile discrepancies.Software Proficiency:
Experience with grain accounting software (like Ag Vision) is a major plus. Excellent organizational skills with the ability to manage multiple priorities simultaneously. Strong basic math skills (calculating net weights and dockage etc). Exceptional communication and leadership skills.Strong Google Sheets/Excel Skills:
Must be comfortable navigating and updating shared workbooks, including data entry, basic formulas, and tracking daily totals. High level skills in problem solving and critical thinking. Proven experience in office management or administrative roles within an industrial or agricultural setting preferred. Strong supervisory experience with the ability to lead and motivate a team effectively.Benefits:
