Job Description

Position Summary:
The HIM Supervisor is responsible for overseeing the daily operations of the Health Information Management Department to ensure the accurate, timely, and secure management of patient health information in compliance with all federal, state, and regulatory requirements. This position coordinates medical record functions including chart completion, record processing, release of information, scanning, indexing, transcription management, and record retention. The HIM Supervisor promotes confidentiality, data integrity, regulatory compliance, and efficient workflow processes while supporting quality patient care and organizational goals.
Key Responsibilities:
Supervise daily HIM department operations Ensure medical records are maintained accurately, completely, and in compliance with applicable regulations and accreditation standards. Monitor chart completion processes and physician delinquency tracking. Oversee release of information functions and ensure HIPAA compliance. Manage document imaging, scanning, indexing, and electronic medical record workflows. Assist with medical record audits and quality assurance reviews. Maintain record retention and destruction processes according to policy and legal requirements. Serve as a resource for physicians and staff regarding documentation and HIM policies. Coordinate departmental schedules, staffing, training, and performance evaluations. Develop and implement departmental policies and procedures. Monitor productivity standards and department performance metrics. Assist with surveys, inspections, and regulatory audits. Ensure confidentiality and security of protected health information (PHI). Collaborate with clinical departments to improve documentation and workflow efficiency. Perform other duties as assigned.
Qualifications:
Education & Experience:
Minimum education of high school diploma.
Preferred:
Bachelor of Science in Health Information Management (HIM); Bachelor's Degree in Business Administration, Healthcare Management, or relevant field Minimum of three (3) years HIM experience Prior supervisory or leadership experience preferred Registered Health Information Technician (RHIT) or Registered Health Information Administrator (RHIA) certification required Certified Coding Specialist (CCS) or Certified Professional Coder (CPC) certification preferred.
Skills:
Knowledge of HIPAA regulations, CMS Conditions of Participation, and medical record standards. Understanding of electronic health record (EHR) systems and document management processes. Knowledge of medical terminology, anatomy, and healthcare documentation standards. Strong leadership and organizational skills. Ability to maintain confidentiality and exercise sound judgment. Effective verbal and written communication skills. Ability to prioritize tasks and meet deadlines in a fast-paced environment. Proficiency in Microsoft Office applications and healthcare software systems.
