Job Description

Job Summary Join our team as an Office Assistant in a high-end aesthetic medical practice. We are looking for someone reliable, tech-savvy, highly adaptable, and comfortable supporting both front-end and back-office operations. This is not a traditional front desk-only role. The ideal candidate is organized, proactive, detail-oriented, and able to wear many hats. This position combines administrative support, back-office assistance, content creation, and exceptional client service. The right candidate should be comfortable multitasking, problem-solving, learning quickly, and taking initiative when needed. Must be comfortable with technology and content creation. Duties Greet patients warmly and help create a polished, welcoming experience from arrival to checkout Support daily clinic flow and assist with patient communication, including calls, texts, emails, and inquiries Manage scheduling, patient charts, and sales transactions using clinic software Assist the provider during aesthetic treatments when needed Prepare, stock, clean, and reset treatment rooms before and after appointments Maintain inventory and help keep skincare/products organized and up to date Educate patients on treatments when appropriate Support administrative tasks and help troubleshoot day-to-day needs as they come up Help ensure the practice runs smoothly, efficiently, and professionally throughout the day Qualities Strong customer service skills. Excellent communication skills to clearly explain procedures, answer questions, and build rapport with clients. Ability to multitask efficiently while maintaining attention to detail. Tech savvy and comfortable learning new systems. Comfortable creating social media content, including stories, reels, posts, and behind-the-scenes content. Comfortable working in a small team environment. Willing to wear many hats and help wherever needed. Strong problem-solving skills and ability to work independently. This is currently a part-time position, with the potential to grow to full-time as the needs of the practice evolve.
