Job Description
About the Role The Care Coordinator plays a foundational role in delivering a seamless patient experience at Seminole Orthodontics. This position owns the new patient pipeline from first contact through treatment start — ensuring every patient arrives prepared, every file is complete, and our Treatment Coordinator walks into every consultation fully informed. You'll also serve as secondary reception support, keeping the front office running smoothly during high-traffic periods. Key Responsibilities New Patient Preparation Build and organize complete new patient packages prior to each initial examination Verify orthodontic insurance benefits and estimate patient portions in advance of the consultation Contact referring dental offices to gather relevant clinical history, x-rays, and notes Confirm upcoming appointments with new patients and address any pre-visit questions Conduct pre-appointment phone consultations as needed to set expectations and ease patient and parent concerns Front Office Support Serve as secondary reception — greeting patients, answering phones, checking patients in and out, and supporting the front desk during peak times Maintain a welcoming, organized environment that reflects the standard of care we deliver chairside Treatment Administration Input and process patient treatment contracts once a patient has accepted treatment and begun care Ensure contract accuracy and coordinate with the Treatment Coordinator on any financial arrangement details Maintain up-to-date patient records in the practice management system Qualifications Required 1-3 years of experience in a dental or orthodontic office Familiarity with dental/orthodontic insurance verification (ortho maximums, waiting periods, lifetime benefits) Comfortable on the phone — confident, warm, and clear with patients and dental offices alike Organized and detail-oriented, with strong follow-through on multi-step tasks Proficient with dental practice management software Preferred Prior experience in an orthodontic-specific setting Experience with insurance portals and electronic benefits verification Bilingual (English/Spanish)
Pay:
