This unique role combines front desk administration with foundational case management responsibilities, serving as a central hub for patient coordination, clinical operations, and administrative support. As a key member of our treatment team, you will help ensure a seamless patient experience from admission through discharge while supporting both clinical and operational excellence. This position is designed to evolve alongside the growth of our program and will ultimately transition into separate Administrative and Case Management roles as patient volume increases. Responsibilities Serve as the primary point of contact for incoming calls from prospective patients, family members, referral sources, vendors, and community partners. Coordinate and complete initial case management tasks for newly admitted patients, ensuring timely progression through treatment and discharge planning processes. Assign and track case management responsibilities with Primary Counselors and clinical team members. Resolve routine case management needs, including appointment scheduling, resource coordination, referral follow-up, and patient support services. Coordinate psychiatric and medical telehealth appointments with providers and patients. Manage the urine drug screening process, including maintaining testing schedules, coordinating specimen collection, communicating with laboratory vendors, and tracking results. Maintain accurate and timely clinical documentation within the electronic health record (EHR). Track daily patient attendance and assist with census management and reporting. Support telehealth group programming by assisting patients and staff with technology setup and troubleshooting. Manage office and clinical supply inventories and coordinate ordering of necessary materials. Maintain organized calendars, schedules, and communication systems utilizing Google Workspace applications. Collaborate with clinical, medical, and administrative teams to ensure efficient communication and continuity of care. Provide exceptional administrative support while maintaining a welcoming and professional environment for patients and visitors. Requirements Prior experience in healthcare administration, behavioral health, substance use treatment, case management, medical office administration, or a related healthcare setting is strongly preferred. Demonstrated ability to manage multiple responsibilities in a fast-paced and highly collaborative environment. Proficiency with Google Workspace, including Gmail, Calendar, Drive, Docs, and Sheets. Experience utilizing Electronic Health Record (EHR) systems and maintaining accurate clinical documentation. Strong technology skills with the ability to troubleshoot telehealth platforms, audio/video systems, and common technical issues. Excellent organizational, time management, and problem-solving abilities. Strong verbal and written communication skills with a patient-centered approach. Ability to maintain confidentiality and professionalism while handling sensitive patient information. Knowledge of HIPAA regulations and healthcare privacy standards preferred. Associate's or Bachelor's degree in Healthcare Administration, Human Services, Social Work, Psychology, Business Administration, or a related field preferred. Preferred Skills Experience coordinating patient care within behavioral health, mental health, or substance use treatment settings. Familiarity with laboratory coordination, insurance processes, referrals, and healthcare scheduling. Ability to balance administrative responsibilities while supporting patient engagement and treatment progression. Strong attention to detail and commitment to operational excellence.
