Job Description

Position Overview:
SmileVibe Dental is seeking a highly skilled and dedicated Insurance and Treatment Coordinator to join our dynamic team. This position plays a crucial role in ensuring a smooth and seamless experience for patients while coordinating their treatment plans and insurance coverage. The ideal candidate will possess strong communication skills, an in-depth understanding of insurance procedures, and the ability to work collaboratively with both patients and the SmileVibe Dental team.
Key Responsibilities:
Presentation of Treatment Plans:
Present comprehensive, patient-friendly dental treatment plans in consultation with the dentist. Clearly explain the proposed treatment options, associated costs, and insurance coverage to patients. Educate patients about the importance of their recommended treatments, addressing any questions or concerns. Follow-Up on
Patients:
Provide follow-up communication to patients who have been presented with a treatment plan. Encourage patients to make informed decisions by discussing the benefits of completing their recommended treatment. Ensure patients feel supported and comfortable throughout their decision-making process.
Professional Customer Service:
Deliver exceptional customer service by creating a welcoming and positive experience for each patient. Act as the primary point of contact for patients regarding treatment plans, insurance inquiries, and any concerns. Maintain a friendly, approachable demeanor while addressing patient needs and inquiries.
Insurance Verification and Prior Authorization:
Verify patient insurance eligibility and benefits prior to treatment. Obtain prior authorization for procedures as required by insurance providers. Accurately input and track insurance information in the system to ensure correct billing and claims submission. Coordination with
Billing Department:
Work closely with the billing department to ensure all insurance claims are submitted correctly and in a timely manner. Resolve any discrepancies between treatment plans, insurance coverage, and billing. Follow up on unpaid claims and assist with re-submissions if necessary.
Documentation and Record Keeping:
Maintain detailed records of patient insurance information, treatment plans, and any communication with patients or insurance providers. Ensure all patient interactions are accurately documented within the system for easy access by the SmileVibe Dental team. Collaboration with
Clinical and Administrative Teams:
Partner with dentists and clinical staff to ensure that treatment plans align with patient needs and insurance limitations. Collaborate with administrative staff to ensure smooth workflow and timely scheduling of procedures.
Qualifications:
Experience:
Minimum of 2-3 years of experience in a dental office, specifically in insurance coordination and treatment planning. Proficiency with dental insurance verification, prior authorization processes, and claims submissions. Familiarity with dental terminology, treatment codes, and common dental procedures.
Skills:
Strong verbal and written communication skills. Exceptional customer service abilities, with a focus on patient satisfaction. Highly organized with attention to detail and accuracy. Ability to manage multiple tasks in a fast-paced environment. Proficient in dental practice management software Knowledge of insurance companies, claim processes, and medical/dental billing.
Education/Certification:
Certification or training in dental insurance coordination or treatment planning is a plus.
