Pavlo Orthodontics is seeking an enthusiastic Scheduling Coordinator to join our thriving practice, supporting both our Peabody and Newburyport, MA locations, while also partnering closely with our Insurance Coordinator to support patient insurance needs. This role requires commuting between both practices. Verification of Insurance Benefits:
Support the Insurance Coordinator by confirming patient eligibility and coverage for orthodontic services, obtain detailed benefit breakdowns (co-pays, deductibles, annual maximums), and clearly explain financial responsibilities to patients and families. Help to
Process Claims Efficiently:
Work closely with the primary Insurance Coordinator to prepare, submit, and track insurance claims for orthodontic procedures. Proactively follow up on outstanding claims, resolve denials or discrepancies, and ensure timely reimbursement in compliance with office policies Creating Exceptional First Impressions
  • Welcome new patients with warmth and enthusiasm, setting the tone for their orthodontic journey. Patient Appointment Scheduling
  • managing appointments for new and returning patients utilizing the appropriate scheduling templates. Patient Appointment Status
  • Confirm that appointment reminders are being sent out, follow-up with unconfirmed appointments, and reschedule no-shows. Practice Growth
  • Ensure that the schedule accounts for the appropriate amount of doctor time, filling openings as necessary and discussing any major changes with the clinical team. Professional Communication
  • Generate correspondence for referring dentists and maintain detailed patient records.
The Teammate We're Looking For 1-2+ years of dental or orthodontic office experience preferred. Experience with dental/orthodontic insurance administration, including eligibility verification, claims processing, and patient billing. Working knowledge of Microsoft Office suite; proficiency with orthodontic management software systems is an asset. Exceptional interpersonal and communications skills (verbal and written), with a proven ability to build strong relationships and rapport with patients, parents, doctors, fellow team members and the community.
