Join our team as a Treatment Coordinator ! We are looking for a dynamic, results-driven individual with excellent people skills who enjoys guiding patients toward their best smile. The Treatment Coordinator is responsible for creating an exceptional patient experience and guiding each patient from their first visit through the start of treatment.
Key Responsibilities:
Gather information from new patients Introduce patients and families to the practice and team Explain orthodontic treatment options, costs, and payment plans Build trust and guide patients through the decision-making process Maintain consistent communication with patients and families (appointments, payments, follow-ups) Coordinate patient needs with the doctor and team Submit insurance documentation when needed
Job Duties:
Handle new patient calls, providing clear and professional information from the first interaction Verify insurance benefits prior to consultations to avoid surprises Prepare treatment plans with estimated costs in advance Serve as the main point of contact until treatment begins Make confirmation calls for exams the day before appointments Schedule appointments, collect payments, and follow up on pending starts Greet patients and assist at the front desk when needed Maintain a professional appearance and be ready before scheduled patient times Enter contracts into the system and upload patient photos to records Maintain accurate patient records in compliance with HIPAA regulations Educate patients on orthodontic procedures and post-treatment care Collaborate with the front office team to ensure smooth operations
Requirements:
Previous orthodontic experience (assistant or front desk) preferred Knowledge of orthodontic terminology is a plus Experience presenting treatment plans and financial options Strong ability to build trust and close cases Excellent communication and interpersonal skills Ability to multitask in a fast-paced environment with attention to detail Ability to quickly learn practice management systems such as Dolphin Management Commitment to patient confidentiality (HIPAA compliance) Key Soft Skills - Treatment Coordinator (Orthodontics) 1) Empathy Understands patient concerns and responds with calmness and validation. 2) Clear communication Explains treatments and costs in simple, easy-to-understand language. 3) Influence / closing ability Guides patients toward a decision without pressure, but with confidence. 4) Emotional intelligence Reads patient emotions and adjusts tone, pace, and approach accordingly. 5) Follow-up skills Consistently follows up with undecided patients without being pushy. 6) Trust building Builds rapport quickly and establishes credibility from the first interaction. 7) Comfort with finances Speaks about pricing and payment plans naturally and confidently. 8) Results orientation Focused on converting consultations into treatment starts.
