About This Role As a Client Care Coordinator, you will be an essential part of a small, dedicated team at the forefront of our client experience. This is not a typical medical office position. Our clients come to us seeking care for some of the most personal aspects of their lives, and many arrive with questions they've never felt comfortable asking before. Your job is to make their experience welcoming and comfortable while ensuring they have what they need to make an informed decision about their care. The person who will thrive in this role reads an email three times before sending it, gets satisfaction from bringing order and closure to a busy, moving workflow, and genuinely cares about the people on the other end of every interaction. What You'll Do As the first point of contact for our clients, you will manage the flow of incoming inquiries, guiding clients through the intake process with warmth, clarity, and consistency, and assist current clients with their ongoing administrative needs. Specifically, you will: Respond to client inquiries via phone and email in a manner that is warm, professional, and tailored to each client's individual needs, answering the questions they ask and the ones they haven't thought to ask yet Coordinate and schedule new client intakes, managing multiple spreadsheets simultaneously to track inquiries and move clients efficiently toward completed appointments Serve as the main point of contact for current clients, addressing issues and administrative needs with the same warmth and professionalism as new client interactions Assist with billing processes, including insurance verification and processing payments, maintaining tracking spreadsheets to ensure concerns and issues are handled in a timely manner Maintain accurate and detailed client records in our electronic health record (EHR) system Communicate professionally and empathetically with clients, staff, and outside providers/referral sources Uphold strict confidentiality standards in accordance with HIPAA and organizational policy What We're Looking For Passion for and commitment to CSWC's mission and values are essential in this and any role at our organization.
Requirements:
High school diploma or equivalent. Associate's or Bachelor's degree in Business Administration, Healthcare Administration, or a related field (preferred) One to two years of administrative experience in a healthcare or behavioral health setting Experience in a specialty or behavioral health practice (preferred) One to two years of recent experience using an EHR system Demonstrated ability to write warm, professional, grammatically correct correspondence that adapts standard communication frameworks to the needs of each individual client Comfortable managing multiple priorities and spreadsheets simultaneously in a fast-paced environment Strong attention to detail and the ability to apply general knowledge to individual circumstances with good judgment Working knowledge of insurance verification processes, including navigating insurance carrier portals and websites to determine client coverage and benefits Proficiency with Google Workspace and general office technology Compensation & Benefits $19.00 per hour
