Full Job Description Position Overview:

The Orthodontic Treatment Coordinator plays a key role in guiding patients through their smile journey—from the initial consultation to starting treatment. This position requires a confident communicator with strong financial and organizational skills, a caring personality, and the ability to build trust with patients and families.

Responsibilities:

Greet and guide new patients through their orthodontic consultations. Present treatment plans clearly and professionally to patients and parents. Set up and manage treatment contracts, financial arrangements, and payment plans. Discuss insurance benefits and help patients understand their coverage. Coordinate start appointments and maintain follow-up communication with leads. Take iTero scans and diagnostic photos for consultations and progress checks. Take digital x-rays (valid radiology license required) . Work closely with the doctor to ensure smooth case presentations and transitions. Track case acceptance and meet monthly conversion goals. Follow up with pending patients to encourage treatment starts. Collaborate with the front desk and clinical team to maintain excellent patient flow. Handle recall lists and reactivation of previous leads. Participate in marketing and community outreach events as needed. Maintain accurate records, reports, and treatment documentation.

Qualifications:

Minimum 1-2 years of experience as a Treatment Coordinator in orthodontics or the dental field (required). Valid New Jersey Dental Radiology License (required). Experience with iTero scanning (preferred). Strong communication and customer service skills. Detail-oriented with excellent organizational and multitasking abilities. Proficient in dental/orthodontic software systems, specifically Dolphin Management Knowledge of dental insurance and financial coordination. Positive, team-oriented attitude with a passion for helping patients achieve their best smile.
