  • Full-time Position Overview We are seeking a personable, organized, and motivated Treatment Coordinator to guide new patients through their orthodontic journey from the very first interaction.
This role combines patient care, relationship-building, education, sales consultation, and administrative coordination. The Treatment Coordinator (TC) serves as the primary contact for new patient inquiries, helps patients understand treatment options and financial arrangements, and works closely with the orthodontist and office team to deliver an exceptional patient experience. The ideal candidate is confident communicating with patients/parents, skilled at building trust, detail-oriented, and motivated to help grow the practice through excellent service and case acceptance. Key Responsibilities New Patient Experience
  • Serve as the primary point of contact for all new patient inquiries
  • Welcome and greet new patients and families, ensuring they feel comfortable and valued
  • Facilitate the complete new patient process from initial contact through treatment acceptance
  • Assist patients with forms, records, and supporting documentation
  • Prepare and provide welcome packets and educational materials
  • Review patient concerns and help ease misunderstandings or anxiety Clinical & Treatment Coordination
  • Take new patient records including x-rays and photos
  • Assist the orthodontist during new patient examinations
  • Ensure patients fully understand treatment recommendations and next steps
  • Maintain accurate records and documentation in accordance with office procedures
  • Use orthodontic software systems accurately and efficiently Financial Coordination & Case Acceptance
  • Present financial arrangements, insurance coverage, and payment options clearly and professionally
  • Explain office policies, informed consent, and treatment agreements
  • Promote the value and benefits of orthodontic treatment and practice services
  • Help increase treatment acceptance and support practice growth goals
  • Follow up with patients who do not immediately schedule treatment
  • Document reasons for delayed or declined treatment Scheduling & Patient Follow-Up
  • Confirm new patient exams, consultations, and treatment starts
  • Schedule appointments and coordinate new patient flow
  • Maintain and update recall systems
  • Follow up with recall and pending patients through: o Phone Calls o Text messaging o Email communication o Written correspondence
  • Support retention and reactivation efforts, including recall systems for patients not yet ready to begin treatment Administrative & Reporting Duties
  • Report monthly and daily patient statistics and exam metrics
  • Participate in morning meetings and team communications
  • Support office growth, marketing, and referring dentist/patient relationship initiatives
  • Assist as a backup to the Scheduling Coordinator when needed
  • Help manage patient recall systems and special patient programs
  • Assist Financial Coordinator in reviewing patient insurance and financial information before consultations
  • Coordinate communication with referring offices.
