Job Description

Key Dental is a patient-focused, out-of-network practice that prioritizes clarity, trust, and case acceptance over volume . The Treatment Coordinator (TC) plays a critical role in bridging clinical excellence with patient understanding and financial commitment. This is not a passive front-desk role. The TC is responsible for presenting treatment plans, overcoming objections ethically, coordinating finances, and ensuring patients move forward with care . Success in this role requires strong communication, confidence, attention to detail, and strict adherence to systems and SOPs.

patients fully understand their treatment and feel confident saying yes. Responsibilities Treatment Presentation & Case Acceptance Present comprehensive and phased treatment plans clearly and confidently Translate clinical recommendations into patient-friendly language Address objections related to cost, timing, fear, and value using ethical sales principles Coordinate treatment sequencing and scheduling with the clinical team Financial Coordination Review fees, insurance estimates, and patient financial responsibility Discuss and enroll patients in financing options (Cherry, CareCredit, etc.) Collect deposits and payments in accordance with office policy Maintain accurate financial notes and documentation Patient Experience Serve as the primary point of contact for patients following exams Ensure patients feel informed, respected, and supported throughout the decision process Follow up with unscheduled treatment and track case conversion Systems & Documentation Maintain accurate records in Open Dental PMS Follow all SOPs related to treatment presentation, financial coordination, and follow-up Track personal and office KPIs related to case acceptance and conversions Team & Growth Support Collaborate with dentists, assistants, and admin team members Support new patient exam (NPE) flow and overall patient acquisition efforts Contribute ideas to improve systems, scripts, and patient experience Qualifications & Skills Prior experience as a Treatment Coordinator or similar role in dentistry strongly preferred Strong understanding of dental procedures, terminology, and sequencing Confidence discussing finances and asking for commitment Excellent verbal and written communication skills Proficiency with Open Dental PMS preferred Knowledge of insurance estimates and third-party financing Highly organized, detail-oriented, and systems-driven Professional, calm, and patient-focused under pressure What We're Looking For This role is ideal for someone who: Is comfortable leading conversations and asking for the close Believes patient education drives ethical case acceptance Thrives in a structured, performance-driven environment Takes ownership of outcomes, not just tasks Benefits Competitive pay with growth and advancement opportunities Performance-based bonuses Paid training and structured onboarding Health insurance options Paid time off (PTO) Employee dental benefits Supportive, systems-driven work environment Clear expectations, accountability, and room to grow This position is integral to the success of the practice and offers strong growth and earning potential for high performers.

$14.00 - $18.00 per hour
