The role is essential in securing treatment plans and coordination of financial resources and/or insurance requirements and billing practices. Additionally, this role assists the Office Manager in production goals and participates in greeting patients, scheduling appointments, answering phones, and other office responsibilities as required. The Treatment Coordinator exhibits an efficient, knowledgeable and positive countenance to every patient experience.
ESSENTIAL FUNCTIONS
  • Accountable for accurate and timely insurance verification and entry into practice management system and maintaining a timeline of two days ahead.
  • Accountable for updating and following up on pending treatment in the Treatment Tracker Report on a daily basis.
  • Ensure all treatment plans are completed and presented to patients; inclusive of all treatment plans the patients were unable to wait for while in the office. Explain the treatment plan details, address patient concerns and answer any questions.
  • Assist the patient in prioritizing the treatment and establish a plan for scheduling and payment.
  • Ensure all pre-authorizations are sent to the insurance companies and are tracked and followed up on in a timely manner.
  • Responsible for creating dental claims the day services are rendered.
  • Build trust, and understand the patient's objectives.
  • Conduct financial consultations with all new patients and with existing patients when new treatment plans are presented.
  • Manage and maintain the payment options and policies for patients to uphold the practice's financial integrity.
  • Understand the practice's policy on working with dental benefit plans and be prepared to educate patients on their dental benefits.
  • Bill dental insurance, post payments, and claim estimations as required.
  • Oversee and track dental benefit plan accounts receivable and follow-up on claims regularly to ensure timely payment.
  • Communicate with all outside and third-party financing companies offered to patients and educate patients on the available outside financing options.
  • Assist in Practice's collections protocol for all outstanding balances.
  • Introduce new patients to the practice by going over health history, explaining the doctor's examination, and describing any other features about the practice that should be highlighted.
  • Conduct treatment consultations with all new patients and with existing patients when new treatment plans are presented.
  • Greet and check patients in and out before and after treatment.
  • Answer incoming calls to include, new patient calls, emergencies, scheduling patient appointments, requesting records, and follow up.
  • Perform general office duties and other duties as required. Key Performance Indicators include, but are not limited to:
  • NP Call Conversion 65%
  • Existing patient Call Conversion 90%
QUALIFICATIONS
To successfully perform the job responsibilities for the position of Treatment Coordinator, an individual must be able to perform each essential duty satisfactorily. KNOWLEDGE OF
  • Accurately correspond with patients verbally and via email.
  • Has excellent relationship and rapport building experience with the ability to communicate clearly and present information with patients in person and on phone conversations.
  • Knowledge and experience with dental treatment plans and insurance requirements.
SKILLS:
  • 2-3 or more years of front office/patient advocate experience, preferably in a dental or medical setting.
  • Computer proficiency including Microsoft Office Suite and the ability to learn new programs.
  • Ability to demonstrate independent thinking and exercise good judgment.
  • Ability to work as a member of a team to accomplish job responsibilities.
  • Ability to perform frequent repetitive work with attention to detail.
  • Ability to be flexible and accept different work assignments with a positive approach.
  • Ability to follow instructions and takes responsibility for own actions.
  • Ability to exercise confidentiality with Patients and patient care.
  • Ability to listen attentively for clarification to ensure necessary outcomes.
  • Ability to work both independently and in a team environment.
  • Ability to adapt to changing environments and priorities.
Pay:
$18.00 - $20.00 per hour
