Director of Clinical Operations and Managing Partner Position Summary The OWCP Coordinator serves as the primary administrative coordinator for all Office of Workers' Compensation Programs (OWCP/FECA) patients treated within the Federal Injury Center. This position is responsible for ensuring complete compliance with Department of Labor (DOL) regulations, maintaining accurate ECOMP documentation, coordinating treatment authorizations, communicating with nurse case managers, employing agencies, claims examiners, and assisting providers in delivering exceptional care to injured federal employees. The ideal candidate possesses exceptional organizational skills, extensive medical documentation knowledge, superior customer service abilities, and the ability to manage multiple complex federal claims simultaneously while maintaining strict regulatory compliance. The OWCP Coordinator is expected to become the in-house expert on OWCP processes and serve as the liaison between patients, providers, employers, the Department of Labor, and federal agencies. Primary ResponsibilitiesFederal Case Management Manage the complete administrative lifecycle of OWCP claims from initial intake through discharge. Review and verify accepted diagnoses, claim numbers, employing agencies, accepted body parts, and current claim status. Maintain detailed tracking of all federal cases, authorizations, appointments, treatment plans, and required documentation. Coordinate scheduling based upon authorized treatment frequency. Monitor expiration dates of treatment authorizations. Track utilization limits and ensure uninterrupted patient care. Maintain accurate case notes within the electronic health record. Assist providers in maintaining OWCP-compliant treatment schedules. ECOMP & Department of Labor Documentation Prepare, upload, and manage documentation through the ECOMP Portal.

Maintain electronic confirmation of all uploads. Monitor pending submissions requiring provider signatures. Provider Documentation Support Work directly with physicians, chiropractors, physician assistants, nurse practitioners, physical therapists, and ancillary providers. Review documentation for completeness before submission. Identify missing documentation.
Ensure provider narratives adequately establish:
Medical necessity Causation Objective findings Functional limitations Disability status Treatment plans Prognosis Maximum Medical Improvement (MMI) Return-to-work recommendations Coordinate completion of provider reports within required timeframes. Authorization Management Track all referrals and authorizations. Request additional treatment approvals.

Respond promptly to requests for documentation. Schedule provider conferences when necessary. Document all communications. Billing & Claims Support Verify accepted diagnoses prior to billing. Coordinate with billing department regarding denied claims. Research denied services. Assist with appeals. Monitor authorization compliance. Verify CPT coding matches authorized services. Maintain accurate documentation supporting reimbursement. Quality Assurance & Compliance Maintain compliance with: Department of Labor (OWCP) FECA regulations

Required Qualifications Minimum 3 years of medical office experience Minimum 2 years working with OWCP, Workers' Compensation, or Case Management preferred Strong understanding of medical terminology Experience with Electronic Health Records Exceptional organizational skills Excellent written and verbal communication Strong computer proficiency Microsoft Office Suite proficiency Ability to manage multiple priorities in a fast-paced environment Professional appearance and demeanor Preferred Qualifications Prior
