  • 4:00PM, 40 Hours Per Week Medcentrek is seeking Aerospace Case Managers to provide case management support an assistance necessary to aid in mission accomplish for the Aerospace and Operational Medicine division at Robins AFB, GA.
Under the direction of the division chief, acts on the merit of requests for medical cases on flying and non-flying personnel not meeting the appropriate standards supporting over 70,000 reserve personnel.
Qualifications:
  • Military experience with current/previous physical exams and standards (PES). Experience with policies and guidance associated with Aeromedical Information Management Waiver Tracking System (AIMWTS), Physical Examination Processing Program (PEPP), Periodic Health Assessment (PHA) programs, Joint Legacy Viewer (JLV), and Management Internal Control Toolset (MICT).
  • Knowledge of medical terminology, International Classification of Diseases Diagnostic (ICD-10) Code, applicable AFIs, directives, PES requirements, 422/469 and disability evaluation system (DES) processes.
  • Requires basic knowledge of anatomy, physiology, disorders of human body systems, and emergency medical care procedures when communicating and documenting cases. Ability to communicate instructions to the member , at the member's comprehension level.
  • Excellent Oral and written communications skills and project management experience.
Highly Desired:
In-depth knowledge of Line of Duty (LOD) Determinations and Medical Evaluation Boards (MEB) processes.
  • The contractor shall demonstrate a high level of proficiency with Aeromedical Information Management Waiver Tracking System (AIMWTS), Physical Examination Processing Program (PEPP), Aeromedical Waiver Guide (AMWG) and the Medical Standards Directory (MSD).
  • Demonstrate a high level of knowledge in medical standards for retention, flying classes, Line of Duty determinations, and special operational duty for the USAF.
  • Shall be proficient with Portable Document Format (PDF) and all Microsoft office applications to include but not limited to: Microsoft Word, Excel, Outlook, and PowerPoint.
  • Shall have skills in typing 9 keypad and QWERTY.
Aeromedical Case Processing. The contractor shall accomplish case evaluation by receiving pertinent medical data/information on the personnel such as medical history, doctor's findings. etc., reviews such info1mation to determine presence of abno1mal medical conditions to substantiate granting a waiver.
Job Duties:
Case Processing
  • All information will be input into respective electronic systems depending on case type. Case actions include but not limited to:
  • Update Aeromedical Waiver Management Info1mation System (AIMWTS), Electronic Case Tracking (ECT), Physical Exam Processing Program (PEPP), MEDXS and other systems of record with current case status as needed especially when case status changes.
  • Provide written instructions to reserve medical units on the management of questionable or incompletely documented cases for additional info1mation/requirements.
  • References and applies knowledge of general medical guidelines covering physical standards and fo1ming the basis for adjudicating medical cases and obtains medical opinions/recommendations from professional medical personnel.
  • Coordinates with MAJCOMs, HQ USAF and medical treatment facilities (MTF) addressing reserve unique medical issues.
  • Confirming all required data included in case files for-provider adjudication, confirming provider statements match case type and higher level requirements.
  • Loading cases into appropriate electronic system of record
  • Completing technician level inputs for front and back end management.
  • Ensure cases are handled in a timely fashion per applicable policy, and for special or high interest cases, per directive.
  • Ensure accuracy of data entry and case processing.
  • Track cases through the entire review process keeping RMUs and Chief, Medical Standards, informed of the status of each case.
  • Coordinate and assist with schedule evaluations using all available resources (ACS, nearest MTF to member, and other outside civilian agencies).
  • Review all cases submitted from rese1ve medical units (RMUs), the Aeromedical Consult Service (ACS) and Recruiting Services (RS), and ensure pe1iinent data is included with case results.
  • Reviews, schedules, and ce1iifies accession, retention, and flying waivers utilizing ECT, AMWITS and PEPP.
  • Assists with disposition of LOD dete1minations and RILOs.
  • Collection and compilation of data for final case disposition and mail-out to member. Program Administration & Reporting. The Case Managers will provide program administration related to aeromedical case processing and provide reports related to case processing metrics, data quality, unit case load and other recmTing repo1is as required.
  • Creates educational tools and educates on all aspects of AOME mission.
  • Conducts ongoing command evaluation of physical examination statistics to ensme timely resolution and disposition of cases.
  • Routinely performs FAM analyses directly related to case processing, including customer service/consultation, researching special request, high interest cases, or managing MICT checklists related to the case management policies, may be assigned as necessary.
  • Prepare a wide variety of recurring and some nonrecurring correspondence, reports, and other documents and reviews and finalizes correspondence/documents prepared by others in handwritten or electronic drafts.
  • The contractor is to assist in the review/revision of departmental instructions and policies, and provides the Aeromedical Career Field with updates on ACS policy/procedures.
  • Support the AMTM and FSST courses for RMU medical technicians and flight surgeons, respectively.
  • Serve as case management technician performing various clerical and administrative duties in support of the organization, perfo1ming office automation suppo1i using multiple automated programs and software such as databases, spreadsheets, and graphics in support of the clerical and administrative work.
  • Comply with all policies of the Aerospace and Operational Medicine Division and ensure appropriate timely and complete case management workflow. Additionally, he/she shall do the following:
  • Perform all administrative functions in support of the Division, which includes preparing memoranda and technical repo1is.
  • Attend meetings for discussion of cases and are required to provide administrative computer suppo1i for this function on an as needed basis.
  • Complete required monthly, annual, and ad hoc reports.
  • Communicate all necessary information for appropriate case adjudication and workflow to the case management providers.
  • Coordinate activities with ACS, RS and other referring facilities.
  • Administrative due outs perfo1med and completed as by directive.
  • Assist with planning, preparation, and execution of four training sources conducted by the SGP division. Unit & Member Customer Support. The Case Manager will provide customer support related to aeromedical case processing and workflow to individual members and system users at reserve units, wings, NAFs, or commands.
  • Provides day-to-day advice and assistance to medical personnel in 69 separate units and three numbered Air Forces.
  • Receive telephone calls, greets visitors, and ascertains the nature of the calls or visits. Return messages within 2 duty days of receipt.
  • Share case management technician on call duties on a rotating basis.
  • Have the ability to communicate with coworkers, leaders, commanders, first sergeants, MAJCOMs, AFMEDCOM and others; be able to resolve conflict at different levels.
  • Review and process incoming and outgoing correspondence, materials, publications, regulations and directives.
Screens incoming mail/calls/emails to identify what needs to be brought to the attention of the supervisor, referred to appropriate staff, rerouted to other organizations/offices, or handled personally.
