Job Description

Job Overview We are seeking an energetic and detail-oriented Front Desk Scheduling Coordinator to join our dynamic healthcare team. In this vital role, you will serve as the first point of contact for patients and visitors, managing appointment scheduling, patient intake, and administrative support with enthusiasm and professionalism. Your proactive approach will ensure smooth clinic operations, accurate documentation, and exceptional patient service. The ideal candidate will possess strong computer skills, experience with electronic health record (EHR) systems, and a passion for delivering outstanding administrative support in a fast-paced medical environment. Duties Manage patient scheduling using EMR (Electronic Medical Records) systems such as Epic, Meditech, Athenahealth, or eClinicalWorks to optimize clinic flow and reduce wait times Verify insurance coverage and perform insurance verification procedures to ensure accurate billing and claims processing Assist patients with intake procedures, including collecting medical history and updating demographic information Review and maintain accurate medical records, ensuring compliance with HIPAA regulations and confidentiality standards Coordinate appointment confirmations via phone or electronic communication while demonstrating excellent phone etiquette and customer service skills Operate multi-line phone systems efficiently, handle appointment rescheduling, cancellations, and inquiries promptly Maintain organized filing systems for medical records, ensuring easy access for clinical staff and compliance with health information management standards Utilize office software such as Microsoft Office Suite for documentation, correspondence, and data entry tasks Provide front desk support by greeting patients warmly, managing patient flow, and assisting with dental or medical office management tasks as needed Experience Prior experience in a medical office or clinic setting is preferred, especially in roles involving medical scheduling or front desk responsibilities Knowledge of medical terminology in relation to TMS services, ketamine therapy and insurance verification processes is preferred to ensure accurate documentation review and clear communication with patients Demonstrated experience with healthcare administrative tasks including patient intake, appointment scheduling, filing medical records, and handling multi-line phone systems Strong computer skills with proficiency in Microsoft Office applications and health information management software Bilingual abilities are a plus to effectively serve diverse patient populations Excellent customer service skills coupled with professional phone etiquette to create a welcoming environment for patients and visitors Join our team to make a meaningful difference in patient care through efficient scheduling coordination and outstanding administrative support!
