Job Description

Ward Clerk Position Summary:
The Ward Clerk provides clerical, administrative, and communication support to the nursing department to ensure efficient operations and high-quality resident care. The Ward Clerk assists with maintaining resident records, processing physician orders, managing paperwork, and supporting the overall workflow of the nursing units.
Essential Duties and Responsibilities:
Administrative Support Answer and direct telephone calls in a professional and courteous manner. Work with vendors to maintain nursing supply inventory Maintain resident charts and electronic medical records in accordance with facility policies. Prepare, file, copy, scan, and distribute clinical documents as needed. Maintain nursing department forms, supplies, and equipment Order nursing and therapy supplies and equipment. Responsible for completing insurance prior authorizations. Stock nursing supplies Resident Records and Documentation Process physician orders as directed by licensed nursing staff. Assist with admission, transfer, discharge, and readmission paperwork. Maintain accurate resident census and payer information. Ensure medical records are complete, organized, and compliant with regulatory requirements. Communication and Coordination Notify appropriate departments of admissions and discharges. Assist with obtaining medical records and documentation from outside providers. Nursing Department Support Assist with preparing reports, audits, and regulatory documentation. Support nursing staff with clerical functions to maximize direct resident care time. Compliance and Confidentiality Maintain strict confidentiality of resident information in accordance with HIPAA regulations. Follow facility policies, procedures, and regulatory requirements. Promote a positive and professional environment for residents, families, and staff.
Qualifications:
High school diploma or equivalent required. Previous clerical, administrative, healthcare, or long-term care experience preferred. Knowledge of medical terminology preferred. Experience with electronic health records (EHR) systems preferred. Proficient in Microsoft Office applications, including Word, Excel, and Outlook. Strong organizational, communication, and multitasking skills. Ability to maintain confidentiality and professionalism in a healthcare environment.
Physical Requirements:
Ability to sit, stand, and walk for extended periods. Ability to lift up to 25 pounds. Ability to perform repetitive hand and finger movements for computer and clerical tasks.
Working Conditions:
Skilled Nursing Facility environment. Frequent interaction with residents, families, healthcare providers, and staff. May be exposed to infectious diseases and healthcare-related hazards; appropriate infection control practices are required.
