Job Description

This is a temporary position for July and August 2026
Responsibilities :
  • Greet and Welcome Visitors :
    Act as the first point of contact for all visitors, providing a warm and professional welcome. Ensure that visitors feel comfortable and are assisted promptly.
  • Verify Insurance Information :
    Utilize online platforms and phone calls to confirm patients' insurance coverage and eligibility before their appointments to minimize billing issues.
  • Call Patients to
Confirm Appointments :
Proactively reach out to patients before scheduled appointments to confirm attendance. Maintain a record of confirmations and follow up on any cancellations or rescheduling.
  • Answer and Direct Phone Calls :
    Handle a high volume of incoming phone calls with professionalism. Accurately direct calls to the appropriate staff members, record messages when necessary, and relay important information promptly.
  • Perform Administrative Duties :
    Manage essential administrative tasks including filing documents, photocopying important paperwork, scanning files for digital records, and faxing documents to relevant parties.
  • Schedule Appointments :
    Efficiently manage the appointment calendar for all staff members, ensuring that the schedule is optimized for patient flow and that all appointments are up to date.
  • Contact Patients to
Fill Schedule :
Reach out to patients who may need to schedule or reschedule appointments, encouraging them to book time slots to ensure a full schedule.
  • Assist with
Data Entry :
Accurately input patient data, update order entries, and maintain databases to ensure all information is up-to-date and easily retrievable.
  • Manage Incoming and Outgoing Mail:
    Oversee the processing of mail and packages, ensuring timely delivery to the correct recipients and proper handling of sensitive information.
  • Maintain Office Supplies Inventory :
    Keep track of inventory levels for office supplies. Regularly assess needs and place orders to ensure all necessary materials are stocked and available.
  • Handle Confidential Information:
    Ensure that all sensitive information is handled confidentially and in compliance with privacy regulations, maintaining patient trust and adhering to legal standards.
Keep Office Clean and Organized :
Take responsibility for maintaining a tidy workplace, including the daily cleaning of the front office area and restroom. Regularly remove trash and manage recycling bins to promote a clean and organized environment. Help remove snow and add salt at front entryway if needed.
Requirements:
  • Professional Demeanor:
    Exhibit a professional attitude and appearance while interacting with patients, their families, and fellow staff members, creating a welcoming atmosphere.
  • Experience :
    Previous experience as a receptionist or administrative assistant is preferred, with demonstrated capabilities in handling diverse tasks in a busy environment.
  • Organizational Skills :
    Possess strong organizational skills to manage multiple tasks effectively, prioritize responsibilities, and meet deadlines with minimal supervision.
  • Attention to
Detail :
Exhibit meticulous attention to detail, particularly in proofreading documents, ensuring documents are error-free, and maintaining data accuracy during entry.
  • Computer Skills :
    Demonstrate proficiency in using standard office software, particularly the Microsoft Office Suite (Word, Excel, Outlook), to generate documents, manage calendars, and process information efficiently.
  • Communication Skills :
    Exhibit strong verbal and written communication skills, ensuring clear and professional interactions with patients and staff.
  • Teamwork and Independence :
    Ability to work independently on assigned tasks and collaboratively as part of a team, adapting to the organization's needs.
  • Professional Appearance :
    Maintain an appropriate and professional appearance, always representing the organization positively.
  • Dependability :
    Hours are expected to be approximately 32-38 hours per week with 30 minutes to 1-hour lunch break.
