Job Description

Neighborhood Smiles - Belleville is dedicated to providing high-quality, personalized dental care to our small community. Dr. Ryan Yakowicz and his dental team has worked tirelessly growing this practice over the years, expanding our services and access to affordable dental care, while maintaining a strong commitment to patient satisfaction and trust.
Summary:
We are looking for an Administrative Assistant to join our dynamic front office team here at Neighborhood Smiles - Belleville. In this role, you will play a crucial part in ensuring our patients receive exceptional care and support throughout their visit. Your contributions will be crucial to us maintaining our reputation for outstanding customer service and personalized dental experiences. We are willing to train the right person.
Responsibilities:
Promptly and warmly greet patients as a welcomed guest to the office. Manage overall office schedule. Including but not limited to patient hygiene & doctor scheduling, insurance verification, treatment plan presentation, patient financial obligations, and patient billing/collections. Create new patient/family accounts as needed Accept emergency patient calls and triage them to provide them with prompt service. Arrange appointments with the correct amount of time and accommodates both patients and staff in scheduling. Rescheduling appointments when Dr./Hygiene is out of the office. Complete upcoming appointment confirmations daily, accurately quoting patient co-pays, or any other payment due. Ensure practice efficiency while protecting the patient experience Answering the office telephones with enthusiasm and professionalism. Ensure compliance with HIPAA and OSHA regulations Collaborate with the office providers to support seamless patient care Oversee/order front office supplies as needed Demonstrate superior customer service skills when communicating with patients and co-workers. Promptly respond to voicemails, emails and texts. Manage outgoing and incoming referrals Maintain accurate patient records: scan signed forms into electronic chart, document conversations, etc. Reconciles end of the day reports/deposits. Maintain a clean and organized desk on a daily basis. Ensure supplies are stocked as needed. Perform other assigned duties as requested.
Preferred Experience:
To perform this job successfully, an individual must be comfortable working both independently, in a team environment, as well as working face to face with patients. The requirements listed below are representative of the knowledge, skill, and/or ability required to be successful in this position. Experience in Office Administration, Dental or Medical Insurance, Patient Care Coordination, Patient Billing, and Dental or Medical scheduling. Strong leadership and organizational skills Self motivated and able to take initiative. Some knowledge of dental office scheduling, treatment presentation, patient financials, and insurance processes. - willing to train the right person. Passion for relationship-driven patient care Must be proficient in data entry. Has strong multi-tasking skills, Work task priority skills in a fast paced environment. Skillful in using office equipment and handling paperwork/filing adequately and confidentially. Open Dental Software knowledge preferred. Experience in using electronic health record (EHR) systems. Proficient in using a variety of computer system programs, such as Microsoft Office Products (Excel, Word, Microsoft Outlook, etc.) Ability to communicate clearly in person, on the phone, and establish meaningful relationships quickly and efficiently.
