The Administrative Assistant II - Dental School provides overall clerical/office support to the leadership and faculty in the Department of Surgical and Diagnostic Dental Sciences and the Department of Development Sciences, including assisting with academic course management, scheduling, and a range of other administrative tasks. Duties and Responsibilities 1. Assist with academic course management for multiple departments. This includes proctoring and electronic grading of texts/exams, recording grades in D2L and CheckMarq, and performing other course-related coordination tasks. 2. Provide direct support for the Chair, Dept. of Surgical and Diagnostic Dental Sciences and the Chair, Dept. of Developmental Sciences. 3. Monitor and record student progress toward meeting program requirements. 4. Schedule and proctor course exams for departmental faculty. 5. Manage Department Chair and departmental faculty schedules. 6. Schedule and coordinate departmental meetings; attend meetings to record and subsequently distribute meeting minutes. 7. Update and maintain department directories/contacts, faculty manuals, clinic manuals, and clinical treatment guides. 8. Process PCard expense reports and faculty expense reimbursement reports in iExpense. Required Knowledge, Skills and Abilities High school diploma or GED Minimum of two years of experience in an office support role Excellent organizational and customer service skills Excellent written and verbal communication skills Discretion, flexibility, and courteous demeanor Ability to maintain confidentiality Ability to work and communicate with people from a diverse population Ability to work independently with little supervision and frequent interruptions in a dynamic, fast-paced environment Ability to multitask and prioritize daily workload Computer competency with Microsoft Office Suite (Word, Excel, PowerPoint) Preferred Knowledge, Skills and Abilities Administrative support experience in higher education
