Program Manager, Marriage and Family Therapy Masters and Doctoral Programs Division:

Full Time Exempt Position Summary The Program Manager is the primary operational and administrative support lead for the MS-MFT and DMFT programs. This position is responsible for the day-to-day management of program functions across four interdependent domains: student services and academic support, academic operations and course administration, program data and accreditation infrastructure, and event and meeting coordination. The Program Manager works in close collaboration with the Program Director, faculty, adjunct instructors, and a broad range of university offices and systems. The Program Manager must demonstrate a high level of professionalism, cultural competence, and discretion in all interactions with internal and external stakeholders. The ability to maintain confidentiality, manage competing priorities, and operate effectively within a graduate professional training environment is essential. Dean of SEBS Duties and Responsibilities Student Services & Academic Advising:
Serves as the first point of contact for prospective and current students; supports advising, degree progress tracking, enrollment coordination, and student success and retention efforts.
Course Scheduling & Adjunct Coordination:
Manages term-by-term course scheduling and adjunct instructor coordination, including onboarding, contracts, Canvas access, and ongoing communication throughout the term.
University Systems Administration:
Maintains day-to-day proficiency in Canvas, Colleague, Self Service, Microsoft Office, and Google Workspace to support program operations, reporting, and faculty and student access needs.
Program Data, Evaluation & Accreditation:
Maintains program data systems and accreditation evidence files; administers program evaluations and assists in preparing reports aligned with COAMFTE and WSCUC standards.
Events & Meeting Coordination:
Plans and executes program events including orientations, retreats, workshops, and cohort meetings; manages logistics, meeting minutes, and coordinates with Marketing & Communications.
Office & Budget Administration:
Manages general office operations, tracks program expenditures, processes financial documentation, and maintains program files in compliance with FERPA and university policies. Education and Experience Minimum Education Minimum Education:
Bachelor's degree required.
Preferred:
Master's degree in human services, healthcare administration, psychology, counseling, higher education administration, business administration, or a related field.
Experience and Skills Minimum Experience:
Five (5) years of progressively responsible administrative or program management experience.
Preferred Experience:
Prior experience in a college or university setting, preferably in a graduate or professional program; familiarity with mental health, counseling, or allied health academic programs is a plus. Physical Requirements Duties involve light work in an office and community setting and require a minimum of physical effort with intermittent sitting, standing, climbing stairs, and walking inclines. Must be able to lift 20 pounds, walk the campus with ease, and have excellent motor skills. Must have finger dexterity. Must be able to communicate information and ideas so that others will understand. Other Requirements This is a full-time and exempt position. Forty hours per week (M-F) will be the general rule. However, depending on the project cycles and workflow demands of the department, additional hours, weekends, or workday schedule changes may be occasionally required. Must be willing and able to work occasional nights and weekends, and have a varying schedule when required. Flex scheduling will be utilized to accommodate weekend and evening work when appropriate.
