Job Description

Position Summary The Genetic Counseling Coordinator reports directly to the Genetic Counseling ManagerThis role serves the outpatient oncology population within the Nancy N. and J.C. Lewis Cancer and Research Pavilion. This role has two primary functions. The first is to provide secretarial support to the Genetic Counselors and administrative coordination for the departmental operations. The second is to facilitate referrals to the Genetic Counselors following departmental guidelines and processes. Must be able to handle multiple tasks and prioritize responsibilities. Education Associate's degree in a healthcare related field

  • Preferred License & Certification None Required Core Job Functions Provides secretarial support to the Genetic Counselors with administrative coordination for departmental operations.
This includes answering telephone calls, voice mail retrieval and relay messages throughout the work day in a timely and courteous manner. Establishes and maintains file systems. Creates, copies, scans or faxes documents as required. Distributes mail to appropriate staff. Maintains appropriate inventory of office supplies, test kits and patient education materials. Calls patients to remind them of their upcoming appointment in accordance with departmental processes. Sends virtual links to applicable patients. Follows departmental no-show and cancellation processes. Registers patients for their appointment (in-person and virtual) in accordance with departmental patient registration policies and procedures. This includes checking patients into the EHR, verification of patient demographics, scanning insurance cards into the appropriate EHR location, and notifying the Genetic Counselors of patient's arrival. Facilitates genetic counseling referrals following departmental guidelines and processes. This includes scanning referrals into applicable EHR systems. Schedules patients with accurate documentation into applicable scheduling programs. Facilitates timely completion of necessary pre-certifications and/or prior authorizations. Monitors referral correspondences throughout the workday. Facilitates appropriate correspondences to referring providers in accordance with departmental processes. Prepares charts for upcoming appointments in adherence to departmental guidelines. Monitors lab portal for sample distribution. Corresponds to patients with negative results providing follow-up information based on the Genetic Counselor's recommendations.
