Full Job Description Role Title:
CrossFit and Simi-Private Coach Reports To:
General Manager (GM) and Growth Support Specialist (GSS)
Primary Purpose:
Own the quality and consistency of coaching services and the member success systems that drive retention, engagement, and a best-in-class client experience. Manage coaching staff execution (coverage, scheduling, Wodify updates), and ensure accurate coaching payroll. Support facility cleanliness and basic maintenance as a team contributor (not the department owner). This role will help create and implement all ideas listed below that are not currently created or implemented. Weekly Rhythm (expected allocation) 60-70% Coaching delivery (CrossFit classes + semi-private sessions + Elements as assigned) 10-15% Client Success & retention admin (at-risk outreach, goal reviews, onboarding touchpoints, service recovery) 10-15% Staff management + coaching development (coverage, schedule integrity, audits, hiring support, 1:1s as needed) 5-10% Community programming (challenges/events planning & execution) 5-10% Operational support (Wodify updates, payroll verification, facility reset/cleaning support)

What Success Looks Like Coaching experience is consistent across all coaches/dayparts and aligned with your standards. Retention systems run weekly and membership churn stays within target. Coach coverage is handled smoothly with minimal GM/GSS involvement. Wodify schedules are accurate and updated proactively. Coaching payroll is correct every pay period (coaches + Elements coaches). Challenges/events drive engagement and reactivation. 1) Core Responsibilities Coaching & Service Delivery (CrossFit + Semi-Private + Elements) Coach a set number of classes and/or sessions weekly (defined in compensation/offer). Ensure classes start/end on time and deliver the intended stimulus from programming . Maintain and enforce scaling, safety, and movement quality standards. Ensure sessions follow a consistent structure (assessment → plan → progression → accountability). Handle service recovery for coaching-related issues (listen, solve, document, follow up). 2) Programming Implementation + Future Semi-Private Programming Translate programming into a consistent daily coaching brief: intent, key coaching points, scaling menu, time caps. Build/maintain a scaling library and coaching notes framework so all coaches deliver consistently. 3) Client Success & Retention Systems Run weekly retention execution: identify at-risk members (attendance drop-offs, disengagement, complaints) perform outreach (text/call/email) and book touchpoints Execute onboarding follow-through for new members (30/60/90-day check-ins), coordinating with coaches. Conduct goal reviews and progress check-ins (especially semi-private and at-risk). Maintain a retention tracker and report key updates to GM weekly. 4)
Community Programming:
Challenges & Engagement Plan and run quarterly challenges and key community events.
Own execution details:
timelines, rules, resources, comms, coach roles, tracking, wrap-up. Use events/challenges as a re-engagement tool for at-risk members. 5) Staff Leadership & Management Lead the coaching team day-to-day: expectations, standards, communication, and culture.
Manage coach scheduling and coverage:
ensure shifts are staffed coordinate swaps cover classes when no swaps are available (within reason and schedule) Oversee coaching performance: onboarding/training pathway for new coaches class observations and feedback documentation and improvement plans as needed Participate in hiring recommendations; lead skills evaluations and onboarding for new coaches. Coach Meeting Cadence (current + future):
Current:
Monthly coaching staff meeting (standards, themes, training, updates) As full-time staff grows: transition to biweekly , then weekly if needed for execution and alignment 6)
Systems:
Wodify Schedule Integrity Ensure Wodify schedules, coach assignments, and relevant notes are accurate and updated. Maintain a two-week look-ahead coverage process to prevent last-minute gaps. Coordinate with GM and GSS on system improvements impacting coaching delivery or client experience. 7) Payroll Accuracy (Coaches + Elements Coaches) Maintain a pay-period payroll verification process: validate classes/sessions coached confirm rates by role type (CrossFit, Elements, semi-private) flag and resolve discrepancies before submission Submit verified coaching payroll summary to GM/Owner(s) by agreed deadline. Partner with payroll processor/bookkeeper if applicable (you verify; they process). 8) Facility Support (assist, not oversee) Support daily cleanliness and presentation standards as a team member: post-class reset expectations help maintain an organized floor and equipment flow assist with light cleaning tasks when needed report maintenance issues promptly to GM/ops owner Not responsible for vendor management, deep cleaning schedules, or maintenance oversight. KPIs (what the role is measured on)
Retention:
churn/cancellations monthly; saves/reactivations
Engagement:
average visits/month; % members hitting attendance target
Service Quality:
class audit scores; start/end on time; member feedback
Ops:
coverage gaps; Wodify accuracy; payroll errors (goal: zero)

Session delivery competence:
can run structured sessions (assessment → plan → progression → accountability) and personalize within a system. Leadership + accountability: able to coach-correct peers, set standards, and address performance issues directly and respectfully.
Operational reliability:
strong follow-through with schedules, coverage coordination, deadlines, checklists, and details.
Client success mindset:
can build trust, handle tough conversations, and execute retention touchpoints (at-risk outreach, goal reviews, onboarding check-ins).
Communication:
professional written and verbal communication; can manage group staff communication and member-facing messaging.
Systems comfort:
confident using Wodify (or learning quickly), Google Workspace, Slack, and basic spreadsheets/trackers. Problem-solving + ownership: identifies issues early, proposes solutions, and executes without needing constant direction. Required Certifications & Requirements Current CrossFit Level 1 (CF-L1) or equivalent accepted credential, required . Current CPR/AED certification , required (must remain current). Minimum 1 year coaching experience in a CrossFit-style group class environment (or equivalent), required. Ability to coach all core movements safely (Olympic lifting fundamentals, powerlifting basics, gymnastics progressions, conditioning). Availability to work early mornings/evenings as needed and weekends for events/coverage. Ability to lift/move equipment (typical gym demands; include a simple physical requirement line if desired). Preferred (Nice-to-Have) Certifications CrossFit Level 2+ (CF-L2) or higher
