Job Description
Office Manager - Pediatric Therapy Clinic (Mon-Thurs, 8-6) We are seeking a highly organized and detail‑oriented Office Manager to oversee the daily operations of our pediatric OT/PT and Speech Therapy clinic. This is a 4‑day work week position (Monday-Thursday, 8 AM-6 PM). The ideal candidate brings strong administrative skills, excellent communication, and a genuine desire to support our diverse group of kids, families, and therapists. Key Responsibilities Patient Greeting — Welcome patients and visitors promptly, courteously, and helpfully. Communicate effectively with guardians to gather needed information. Customer Service — Ensure patient needs are met with professionalism and compassion. Scheduling Management — Follow clinic policies for scheduling, rescheduling, and appointment adjustments. Insurance Verification — Verify insurance benefits for evaluations and treatment sessions. Pre‑certification & Referrals — Obtain pre‑certs and referrals when required; maintain accurate records. Attendance Tracking — Log missed/cancelled appointments and contact families to reschedule. Patient Information Management — Enter and update patient demographics, insurance details, referring providers, and place of service. Phone Support — Answer incoming calls and assist families, providers, and partners. Check‑Out & Payments — Process co‑pays and account balance payments. Therapist Schedule Coordination — Maintain and update therapist schedules; communicate changes promptly. External Communication — Coordinate with doctors, schools, and agencies we support. Facility Upkeep — Keep lobby and bathrooms clean, tidy, and stocked throughout the day. Confidentiality — Protect patient information at all times. Other duties as assigned. Experience & Skills Experience in medical office management is a plus. Excellent verbal and written communication skills required. Ability to work collaboratively while managing multiple responsibilities. Strong organizational skills and a proactive, solution‑oriented mindset. Why Join Us?
