Job Description
GENERAL DUTIES OF POSITION
Manage daily operations of satellite office, supports Regional Manager with staff oversight and client care coordination. Maintains quality of client services in accordance with the Agency's objectives and policies and State and Federal Regulations.POSITION RESPONSIBILITIES
Work closely with Regional Manager to conduct oversight and act as checks and balances for accurate visit processing of client care scheduling. Engage with initial and ongoing training of Southern Caregivers EVV Scheduling Software (AxisCare) and implement processes into daily routine for office team. Maintains schedule of clients. Once office is maintaining regular weekly hours of 800, participate in call rotation with scheduling team to maintain intimate knowledge of current scheduling practices. Assign new clients and leads based on hours, recent intake load, & current open shifts Completes all new contractor orientations and maintains caregiver roster until scheduling team is added, after which Assistant Manager will oversee and assist with contractor orientations. Track and maintain all active caregiver credentials.Conducts Referral Process:
receives, evaluates, and enters initial referral information.Including but not limited to:
Evaluation of payment via insurance eligibility or client private pay abilities, entering complete lead information into AxisCare, assigning intake to Intake Nurse, overseeing completion of intake in a timely manner according to Southern Caregivers Intake Procedures including all appropriate documents, followup on processing of request for service and converting lead to active client. Closely monitor Real Time View in AxisCare, addressing any potential areas of concerns using tools such as the Conflicts filter 1 at a time. Assist scheduling team with any visit issues requiring escalation or troubleshooting outside of their ability. Maintain an open line of communication with Regional Manager regarding all clientrelated escalations. Educate team on how to identify areas requiring escalation and methods of troubleshooting Provide all training for office staff and ensure team has tools needed to complete their responsibilities. Assist scheduling team with staffing difficulties and evaluate for hiring needs Conduct initial contact with new clients to introduce yourself as the Assistant Manager, review scheduling details and tell them who you are assigning as their scheduling coordinator Assist in hiring, evaluations, and disciplinary actions of team members with Regional Manager Assist Regional Manager in weekly office meeting with Parent Office and oversee the participation of onsite team. Acts as liaison with payer source contact(s) for updates on client status: sends appropriate followup correspondence for all VA or AR Choices clients. (9511)JOB DESCRIPTION
Track and followup with all Authorizations. Troubleshoot Authorization issues as needed. Oversees/directs PCA training program for caregivers. Directs staff toward the appropriate use of community resources. Complete all full review of all visits prior to Regional Manager completing invoicing process. Maintain active client roster by reviewing the status of any client's out of the home and update scheduling staff of new findings: hospitalizations, inpatient facilities, etc. Escalate issues or out of home status to Quality Director and copy Regional Manager.QUALIFICATIONS
Must exhibit proficient knowledge in Southern Caregivers Policies and Procedures Must exhibit proficient knowledge in the State of Arkansas Rules and Regulations as provided by leadership Must have the ability to demonstrate selfconfidence, a positive attitude and commitment with respect to goal achievement Must be organized, team driven but able to work independently, uphold Southern Caregivers' standards and integrity High school diploma or equivalent Has a clear criminal background screeningJOB CONDITIONS
Position is stressful in terms of meeting deadlines. Primarily a desk job which involves minimal and occasional lifting of supplies and charts. On occasion, one may be required to bend, stoop, reach and move patient weight up to 250 pounds, lift and/or carry up to 30 pounds. The ability to communicate well, both verbally and in writing in English is required.EQUIPMENT OPERATION
Use of multi line telephone, calculator and other office equipment and supplies.COMPANY INFORMATION
Has access to all patient records and patient financial accounts which may be discussed with the Administrator, the Executive Director, the Director of Finance, and the Quality Assurance Department.
