Job Description

Retina Institute of Arizona is a new, physician-owned retina specialty practice that just opened in Gilbert, Arizona. Our mission is to provide exceptional patient care through clinical excellence, compassion, and operational efficiency. We are seeking an experienced, motivated Office Manager to help build and lead our team from the ground up. This is a unique opportunity for a healthcare leader who enjoys creating systems, developing staff, and helping grow a high-performing medical practice. Position Summary The Office Manager will oversee the daily operations of a busy retina practice, ensuring exceptional patient service, efficient workflows, regulatory compliance, and strong financial performance. This individual will work closely with the physician owners to recruit staff, implement processes, monitor key performance indicators, and create a positive workplace culture.
Key Responsibilities Operations & Practice Management:
Manage day-to-day operations of the practice Develop and maintain efficient patient flow and scheduling processes Monitor clinic productivity, patient satisfaction, and operational metrics Coordinate office vendors, maintenance, supplies, and facility needs Assist with implementation and optimization of EHR and practice management systems Develop and maintain office policies and procedures
Human Resources & Leadership:
Recruit, onboard, train, and supervise staff Conduct performance evaluations and coaching Create employee schedules and manage staffing needs Foster a positive, team-oriented culture Support employee engagement and retention initiatives
Revenue Cycle & Financial Oversight:
Monitor front-end and back-end revenue cycle processes Track insurance authorizations, billing workflows, and collections performance Review key financial and operational reports Assist with budgeting and expense management Identify opportunities to improve efficiency and profitability
Compliance & Quality:
Ensure compliance with HIPAA, OSHA, Medicare, and payer requirements Coordinate staff compliance training Maintain regulatory documentation and policies Support quality improvement initiatives and risk management activities
Patient Experience:
Ensure outstanding customer service throughout the patient journey Resolve patient concerns professionally and efficiently Monitor patient satisfaction and implement service improvements
Qualifications Required:
Minimum 2 years of healthcare management experience Strong leadership and team development skills Experience managing medical office operations Excellent communication and organizational skills Proficiency with electronic health records and practice management software Ability to manage multiple priorities in a fast-paced environment Preferred Ophthalmology or retina practice experience Bachelor's degree in Healthcare Administration, Business, or related field Experience with physician practice startups or growth-stage organizations Knowledge of medical billing, insurance verification, and prior authorizations What We Offer Competitive salary Annual performance bonus opportunity PTO and paid holidays Professional development opportunities Collaborative physician-led culture Opportunity to help build a premier retina practice from the ground up Why Join Us? $65,000.00 - $75,000.00 per year
