Patient Coordinator / Device Specialist Incite Health and Wellness Peoria, AZ Job Details Full-time $20 an hour 7 hours ago Benefits Employee discount Qualifications Intake Medical scheduling Content marketing Product demos CRM system proficiency Full Job Description Position Summary The Patient Coordinator / Device Specialist is responsible for front office operations, lead conversion, scheduling efficiency, device package sales with commission and independently performing Emsculpt Neo and Emsella treatments. This role supports clinic growth by maintaining patient flow, maximizing device utilization, and ensuring a high-quality patient experience. Core Responsibilities 1. Lead Management & Conversion Respond to all new leads quickly Perform follow-up via call, text and email for 3 days Schedule demos and consultations Track all leads in Growth99 (CRM system) 2. Front Office Administration Patient check-in and check-out Appointment scheduling and confirmations Intake forms and payment processing Managing phone calls and voicemails Maintain front desk organization and cleanliness Clean and turnover all rooms efficiently after use 3. Device Treatments (Emsculpt Neo & Emsella) Prepare patients for treatment Take all before and after photos Apply applicators and initiate sessions Monitor patient comfort and safety Document treatments and patient response Maintain treatment room turnover and readiness Perform demo consultations with devices Excel at selling high-priced packages on devices 4. Schedule Optimization Fill same-day and next-day openings Confirm appointments (48 hrs and 24 hrs prior) Maintain efficient clinic flow 5. Content Capture Capture 1-2 pieces of content daily Record treatments, patient reactions, and staff interactions Assist with social media posting consistency 6. Patient Retention and Loyalty Programs Follow up with aesthetic patients when due for maintenance appointments or retreatment Assist with patient rebooking and retention efforts Manage Allē and Aspire loyalty programs Add points for aesthetic and applicable non-aesthetic procedures Review Allē and Aspire reports regularly Contact patients regarding rewards, promotions, or available points Take all aesthetic before and after photos
Commission Commission:
4% of Total Package Price Applies to: Device Packages Qualifications Strong communication skills with ability to confidently speak with patients via phone, text, and in person Highly organized with ability to manage schedules, multitask, and maintain clinic flow Sales-minded with ability to follow up, build rapport, and convert leads into booked appointments Comfortable working in a fast-paced environment with frequent task switching Willingness and ability to learn and perform Emsculpt Neo and Emsella treatments after training Ability to balance front desk responsibilities with treatment execution without losing efficiency Basic proficiency with CRM systems (Growth99 preferred) and scheduling platforms Professional, positive, and patient-focused demeanor Comfortable being on camera and capturing content for social media quickly and efficiently Reliable, punctual, and able to follow structured systems and protocols Schedule Clinic hours: 7am to 4pm
Days:
Tuesday through Friday Employment Type 1099 independent contractor to start (no benefits) Opportunity to transition to permanent employee position based on performance and clinic needs
Pay:
$20.00 per hour
