Our team is committed to delivering consistent, high-quality care, clear communication, and a respectful, professional experience for every patient at every visit. We are a strongly system-based practice, using clear protocols and processes to support patient care, team communication, and a smooth daily schedule. We are seeking a Dental Patient Experience Coordinator to join our front office team. This position plays an important role in creating a 5-star patient experience, supporting patient communication, helping maintain a healthy recall system, and assisting with treatment plan preparation and presentation. This role is ideal for someone who enjoys working with patients, values clear systems, communicates professionally, and is willing to learn and grow within a family-owned dental practice. Position Overview The Dental Patient Experience Coordinator helps guide patients through their experience at Shine Dental Arts, from the first phone call to scheduling, recall, treatment discussions, and follow-up care. This team member supports the front office by helping patients feel welcomed, informed, and confident about their next steps. This position will include patient care communication, recall coordination, treatment plan preparation, treatment plan presentation, and support with insurance-related information. Dental insurance knowledge is helpful, but it is not required . A willingness to learn dental insurance, treatment plan preparation, and patient presentation systems is highly valued. Key ResponsibilitiesPatient Experience & Front Office Support Greet and check in patients in a warm, courteous, and professional manner. Verify and update patient information, including contact details, insurance information, and medical history. Check out patients, schedule follow-up visits, and help patients clearly understand their next steps. Answer phones and respond to texts and emails in a timely, professional, and friendly manner. Communicate appointment details, office policies, and patient care information with clarity and respect. Help create a positive, organized, and professional experience for every patient. Treatment Plan Preparation & Presentation Assist with preparing treatment plans for patients based on the dentist's diagnosed treatment. Help organize treatment plan information so it can be presented clearly and confidently. Review treatment options, estimated fees, insurance estimates, and payment options with patients. Support patients in understanding the value and importance of recommended treatment. Communicate in a way that is educational, respectful, and never high-pressure. Follow established office systems for treatment presentation and patient follow-up. Maintain accurate documentation related to treatment discussions and patient decisions. Patient Recall & Schedule Support Manage the patient recall system for hygiene visits, periodic exams, and overdue patients. Reach out to patients who are due or overdue for care through phone calls, texts, emails, and letters. Invite patients to return for care in a professional, friendly, and respectful manner. Help maintain a healthy hygiene and doctor schedule through consistent recall efforts. Support schedule stability by reinforcing confirmation and rescheduling guidelines in a professional way. Assist patients in finding appointment times that work for their schedule and support their ongoing oral health. Insurance & Financial Communication Support Help gather and communicate insurance benefit information when needed. Assist patients in understanding insurance estimates and financial portions related to treatment. Work with the office manager and insurance coordinator to support accurate treatment plan estimates. Learn and follow the office's systems for insurance communication, treatment estimates, and patient financial discussions. Dental insurance experience is helpful, but a willingness to learn is the most important requirement. Collaboration & Systems Work closely with the dentists, hygienists, assistants, office manager, and front office team to support a smooth daily flow. Accurately use practice systems and technology such as Dentrix, Weave, and Abella according to office protocols. Follow established systems while also contributing ideas that help improve the patient experience. Support a team culture where every team member is willing to assist where needed so the office functions as one coordinated unit. Maintain professionalism, confidentiality, and a positive attitude throughout the day. Qualifications Prior dental front office experience is preferred. Experience with treatment coordination, treatment presentation, or dental insurance is helpful, but not required. Strong customer service or medical office experience will also be considered. Professional, clear, and confident communication skills in person and over the phone. Strong organizational skills and attention to detail. Ability to manage multiple priorities calmly and efficiently. Dependable, punctual, and committed to a high standard of professionalism. Positive, solution-focused attitude. Willingness to learn dental systems, treatment plan preparation, treatment presentation, recall systems, and insurance basics. Comfortable working in a system-based practice that values consistency, communication, and continuous improvement.
