This position plays a vital role in supporting patient care through medication refill management, prior authorizations, insurance coordination, and front office leadership within our growing psychiatric practice. This position is ideal for someone who enjoys helping patients, thrives in a fast-paced healthcare environment, and has strong experience with medication management, prior authorizations, insurance coordination, and front office operations. As the Front Desk Coordinator II, you will serve as the primary administrative and medication support specialist for the practice, helping patients navigate their treatment while ensuring providers have the support they need to deliver exceptional care. Responsibilities Medication & Clinical Support Process medication refill requests Complete and track prior authorizations Communicate with pharmacies regarding prescription issues Coordinate with insurance companies regarding medication approvals and denials Answer patient questions regarding medication status and treatment processes Route clinical concerns to providers when appropriate Monitor outstanding medication requests and follow up as needed Front Office Leadership Serve as the lead front office team member Assist with training and supporting front desk staff Help coordinate daily office workflow Ensure patient needs are addressed promptly and professionally Support office policies and procedures Patient Services Answer incoming phone calls Respond to patient inquiries and concerns Schedule and manage appointments Assist patients with forms, paperwork, and portal access Coordinate communication between patients, providers, pharmacies, and insurance companies Administrative Duties Monitor emails, faxes, and patient portal messages Maintain accurate patient records and documentation Assist with chart preparation and provider scheduling Process referrals and records requests Support daily office operations and workflow management
Qualifications Required:
Medical Assistant experience Prior authorization experience Medication refill processing experience Strong customer service and communication skills Ability to multitask and prioritize responsibilities Excellent organizational skills and attention to detail
Preferred:
Pharmacy Technician experience highly desirable Experience working in psychiatry, behavioral health, or mental health Experience with electronic medical record (EMR) systems Experience working with Spravato (esketamine) treatment programs Experience with REMS programs and specialty medication management
